Horton difference?We are currently seeking a Receptionist for our growing Birmingham/Tuscaloosa division! Our Receptionists answer phones, assist callers, greet visitors and customers, as well as perform other administrative tasks. They are generally the first point of contact at our division offices and set the tone for the customer's experience in our office.
Essential Duties and Responsibilities- Greet office visitors; notify appropriate parties of their guests' arrival
- Answer all incoming calls timely, routing them to the appropriate department or individual; assist callers with general questions
- Retrieve and distribute messages from the general voicemailbox
- Manage mail distribution - receive, open, date stamp, and replenish postage meter when funds are low
- Maintain appearance of the lobby, reception desk, kitchen, and conference rooms - ensuring they are neat, tidy, and ready for first impressions
- Post all outgoing US Mail.Replenish postage meter when funds are low
- Provide administrative support to departments as needed
- Other duties as assigned
QualificationsCompetencies: - Customer Service: Passion for delivering exemplary service. Ability to establish and maintain effective working relationships with internal and external customers. You should also be collaborative and exhibit a positive attitude toward your work and colleagues
- Communication: Demonstrated ability to interact respectfully with all customers and colleagues. Clear and concise written and verbal communication skills are essential along with the ability to listen intently to others
- Problem-solving: Identifies and resolves problems by gathering and analyzing information; develops alternative solutions when needed; uses basic mathematical skills and reasoning abilities to address issues
- Time management: Ability to manage multiple priorities simultaneously, meet deadlines, remain organized, and focused on work; as well as maintain accuracy and high attention to detail in fast-paced environment
- Initiative: Volunteers readily for new tasks; demonstrates willingness and ability to make sound decisions; takes independent action when needed; asks for (and offers) help when needed
Qualifications: - High school diploma or equivalent
- Demonstrated experience in a similar position or possess similar training; 6 months to a year of directly related experience is highly desired
- Demonstrated proficiency with Microsoft Office Suite and email
- Ability to work overtime as needed
- Demonstrated knowledge and ability to learn new technologies is highly desired
Working environment:Receptionists work in a typical office environment with moderate noise levels. Candidates should be comfortable frequently communicating with visitors and colleagues face-to-face, over the phone, or through electronic means.
