Job Description:

Ultimate Staffing is seeking an experienced Receptionist with at least 4 years of experience to support a large company in Irvine. This role is onsite, Monday-Friday, 8:00 AM - 5:00 PM.

We are looking for someone who:

  • Understands the receptionist role and can handle both downtime and busy periods effectively.
  • Is experienced in managing a multiline telephone system, greeting visitors, and providing excellent customer service.

Key Responsibilities:

  • Retrieve voicemail messages and forward them to the right team.
  • Answer calls, determine the purpose, and transfer them to the correct department.
  • Take messages or send calls to voicemail when needed.
  • Provide general information about the organization (address, directions, etc.).
  • Greet visitors, determine the purpose of their visit, and notify the right person.
  • Monitor visitor access and issue passes.
  • Update internal phone directories.
  • Sort and route incoming mail and publications.
  • Complete daily shipping forms.
  • Manage and assist with fax machine tasks.
  • Process payments for products and services.
  • Order and maintain office and break room supplies.
  • Create and print documents like memos and reports.
  • Perform clerical duties: filing, photocopying, and collating.
  • Restock and organize storage, copy, and break rooms.

Qualifications:

  • Ability to read and interpret safety rules, manuals, and procedures.
  • Ability to write routine reports and respond to common inquiries.
  • Effective communication skills for speaking with groups, customers, and colleagues.
  • Proficiency with Microsoft Outlook, Word, Excel, and internet software.
  • Experience with business phone systems and order processing systems.
