Salary : $49,233.60 Annually Location : 7215 JANES AVE, WOODRIDGE Job Type: Full-Time Job Number: 2024-00023 Department: POLICE DEPARTMENT Opening Date: 09/06/2024 Description The Village of Woodridge Police Department is seeking qualified candidates for the position of Records Assistant. The Records Assistant position maintains all arrest files, incident files, court files and citation files which are generated by the members of the department. This position is part of the Metropolitan Alliance of Police (MAP) Civilian Chapter #639 Bargaining Unit. Examples of DutiesESSENTIAL DUTIES AND RESPONSIBILITIES
  • Screens incoming telephone calls to answer questions or transfer calls to appropriate personnel.
  • Greets visitors arriving at the Police Department lobby/Records window in order to answer questions, accept and retrieve packages/deliveries, and notify appropriate personnel of guests or deliveries.
  • Responsible for the operation of various office equipment in performing the duties of this position.
  • Independently prepares and processes forms, documents, and other written communications in a prescribed manner for retrieval and distribution to other departments and organizations. Assignments involve a high volume of work with established deadlines, and are completed with only general direction from the Records Manager.
  • Processes all reports, citations, and associated documentation through daily bursting (a means of gathering, categorizing, and deciphering documentation), logging and routing to designated case files. Inputs police data into computerized systems and verifies data for accuracy, completeness and format.
  • Independently assists department personnel, other agencies and the public in the retrieval of information and files and the dissemination of requested reports to appropriate outside agencies in accordance with department policies and procedures.
  • Monitors and assists with the administration of the parking and compliance ticket program and processes.
  • Operates a computer terminal and printer with knowledge of LEADS and CJIS in order to enter, modify, and retrieves a wide variety of reports and records.
  • Initial acceptance and review of Freedom of Information Act (FOIA) requests. Collects and prepares documents to assist in timely FOIA responses.

  • Knowledge of business English usage, spelling, grammar and punctuation.
  • Ability to maintain confidentiality as it pertains to the position.
  • Ability to compose standard reports following general instructions.
  • Ability to clearly and concisely communicate with the public in a tactful but firm manner.
  • Ability to learn software applications quickly and accurately.
  • Ability to maintain an efficient record keeping system by sorting data manually and digitally,
  • Ability to undertake multiple tasks at one time.
  • Ability to understand and carry out instruction.
  • Ability to establish and maintain a professional relationship with other employees.
  • Skilled in the operation of various office machines.
  • Ability to set up and maintain files and perform clerical duties, including sorting and filing alphabetically, numerically, and/or chronologically.
  • Knowledge of modern office and computer equipment.
  • Ability to handle distressed persons.
  • Knowledge of the safety rules and regulations that are applicable within the department related to office equipment, disaster plan, and the process to handle residents and other guests during a natural disaster/fire. Responsible for complying with all Village safety rules and regulations, both written and verbal supervisory instructions.
DESIRED MINIMUM QUALIFICATIONS
  • Graduation from an accredited high school or vocational school, including or supplemented by business school courses in keyboarding, organization, manually sorting alphabetically and numerically, document and data processing, and general office procedures; and
  • A minimum of one (1) year experience as a professional or administrative assistant or an equivalent combination of training and experience; and
  • Workable knowledge of municipal police operations;
