This job opportunity is for services to be performed under a contract with the federal government Office of Refugee Resettlement.Reporting to the Deputy Director, the Records Clerk is responsible for maintaining the records and filing systems for the operation. Their primary duties include creating new records, updating existing records and creating statistical reports.Essential Functions:
  • Assist case management and clinical with daily responsibilities, including but not limited to filing, copying, data entry, preparing for group sessions, and assembling intake and discharge packets
  • Assist with filing, closing, and with overall daily maintenance of records found in either the physical case file or UC Portal
  • Assist with compiling electronic and physical files for ORR or State Licensing representatives, upon request
  • Enroll UCs into the program's internal intake system (Smartsheet/WebEOC/UC Portal)
  • Upload DHS and ORR placement documents to UAC Portal
  • Update and Request children daily for calls
  • Assist with the coordination of legal service provider's Know Your Rights presentations
  • Complete and secure inventory of personal belongings/valuables of youth
  • Intake:
    • The greeting of new arrivals
    • Facilitating the admission process in conjunction with medical
    • Providing residents with a Facility Orientation
    • Reviewing documentation provided by the residents
    • Completing/ Uploading the necessary admission paperwork
    • Identifying the language spoken by the resident
    • Identifying any special dietary or religious needs and placement in the appropriate area
  • Discharge:
    • Provides residents with a Discharge Orientation
    • Facilitate discharge process in conjunction with medical and behavioral health
    • Completes necessary discharge packet
    • Assist with Onsite Unification
    • Discharging resident from internal and ORR systems (WEB EOC/UC Portal)
    • Ensure each resident has the appropriate release documentation
    • Responsible for releasing any property that has been stored to the resident upon release
    • Confirm the resident has transportation scheduled for release
    • Responsible for providing each resident with required transportation meals, all medication and any medical documentation and provide the resident with any required items set forth
    • Assist case management with creating discharge packets with discharge documentation and provide exit orientation to client as part of discharge process from the program
  • Assist in sending DNF upon residents exit from the program
  • Assist with line-of-sight supervision, as needed
  • Uphold confidentiality in all areas of child and program operations
  • Adhere to ORR policies and procedures
  • Other duties as assigned
Knowledge and Skills:
  • Proficient in Microsoft Office Suite or related software
  • Working knowledge of relevant word processing tools
  • Possess organizational skills, attention to detail

Education and Experience:
  • High School diploma or equivalent
  • 1+ years of experience in record-keeping or data entry positions (relevant experience will be considered in lieu of education)
  • Must be able to type 40WPM
  • Bilingual in English and Spanish, preferred
  • Must possess a valid driver's license
  • Must be authorized to work in the U.S.
  • Must be able to travel within the Continental United States (CONUS)
  • Must pass a motor vehicle record check and employer and government (eQIP or eAPP) background checks after accepting a conditional offer of employment
