Title: Records Clerk

FLSA Status: Non-exempt

Department: Sheriff

Supervisor: Matron

PURPOSE OF POSITION:

Conducts all business required to the public and internally, pertaining to a variety of administrative and clerical dutiesnecessary to run the Hendricks County Sheriff's Department efficiently.

ESSENTIAL FUNCTIONS:

* Receive phone calls and answer questions and/or directs call to the appropriate person or department.

* Assists general public in answering questions or giving instruction or direction at the front office windows.

* Inspects and distributes incoming mail from the Post Office, using required safety measures before delivery.

* Process and complete all confidential criminal history checks and letters for Adoptions.

* Conducts research on the Internet; operates and troubleshoots new office technologies.

* Processes requests for all accident, incident and criminal history reports.

* Processes Tax Payments and Receipts.

* Collects permit fees, deposits money daily, balances to Tax Clerk daily for County Treasurer.

* Processes gun permit applications, vehicle release forms and other documentation.

* Provide accurate information to the general public, lawyers/attorney's office, other police agencies as well as any court system with inquiries.

* Provide receipts for all money accepted for service.

* Performs fingerprinting.

* Maintains supplies for merit officers.

* Works with the courts when getting jury call lists; calls all on lists.

* Performs data entry.

* Provide assistance to other divisions of the Sheriff's Department, including Jail, Merit and Detective, other County offices, law enforcement agencies and insurance agencies.

* Prints daily jail census reports and bills A/R and A/P at end of the month.

* Case report transcription.

* Prepares and submits daily reports and sends over to courts.

NON-ESSENTIAL FUNCTIONS:

* Back up to Accounts Payable.

* Backup to Civil Process.

* Performs other duties as assigned.

EDUCATION & QUALIFICATION REQUIREMENTS:

* High School diploma or GED.

* No experience required.

* Knowledge of and comprehension of the legal documents processed by the Sheriff's Department including, but not limited to gun permits, DOR tax warrants and adoption papers, accident reports, criminal warrants, civil warrants, protective orders and sheriff sales.

* Ability to effectively and tactfully deal with other people.

* Strong bookkeeping skills.

* Ability to operate and maintain various office machines, such as computer, printer, copier, multiple line telephone with voicemail, document shredder and fax.

* Ability to learn job specific software programs.

* Good organizational skills.

* Create spreadsheets, compose correspondence, manage databases, reports, and create documents using desktop software.

* Ability to communicate well, both verbally and in writing

* Basic knowledge of general office practices, such as filing, record keeping, phone etiquette, etc.

* Attention to detail and accuracy

* Ability to multi-task and work with interruptions.

* Ability to be a notary public.

* Ability to successfully complete CPR/First Aid certification.

RESPONSIBILITY:

Incumbent works under established guidelines and procedures. Tasks are varied and require some selection of applicable methods and procedures. The duties of the Records Clerk require a high level of accuracy. Errors in work can cause substantial inconvenience to the public and moderate cost and loss of time to the department, public and county.

WORKING RELATIONSHIPS:

Working relationships are with supervisor, associates in the same department, other county departments, and the general public for the purpose of communicating factual or procedural information.

WORKING CONDITIONS AND PHYSICAL DEMANDS:

Work is performed in a facility which houses convicted Felons. Although contact with inmates is strictly controlled and monitored, hazards are always present within the jail environment, including the risk of severe injury. Exposure to persons who may possess any or all of the following conditions: Intoxicated, under the influence of drugs, suffering from mental illnesses, violent, suicidal or extremely hostile and unruly behavior; suffering from AIDS, Hepatitis, or any other of a number of deadly or contagious diseases, exposure to bodily fluids; Exposure to handguns and other weapons.
