Job Description:

The Student Support Services Records Coordinator will provide direct support services to Student Support Services participants and provide administrative support through data processing, record keeping, reporting, evaluation, communication, and scheduling under the direction of the Project Director.

Salary: Appropriate placement on ACCS Salary Schedule: E5, Rank: 06, $28,836 - $46,327

Work Hours: Monday through Thursday, 7:30 a.m. - 5:30 p.m., Friday 7:30 a.m. - 11:30 a.m.

Applicants must provide information from previous employers documenting full-time related work experience if an offer is made.

* Assist in preparing reports, and disseminating information to participants, project staff, college administrators, faculty, staff, and the community.

* Assist with recruitment and selection of new participants.

* Assist with the selection of qualified recipients for supplemental grant awards.

* Assist with the assessment of the academic needs of each Student Support Services participant

* Assist in the evaluation of the Student Support Services project.

* Provide office management and administrative support.

* Organize and maintain a confidential filing system and database on all participants activities and services.

* Assist in tracking Student Support Services participants for the purpose of collecting data on retention graduation, grade point averages, and transfer rates for project evaluation.

* Assist the Director in monitoring and reconciling the budget.

* Assist the Director in monitoring inventories, purchase requisitions, trip requests, and expense statements.

* Assist with ensuring appointments are scheduled with participants at prescribed intervals to review academic progress, performance, personal concerns, and other relevant issues.

* Serve as an advocate for disadvantaged students.

* Maintain professional conduct in dealing with students, staff, administration, faculty, and the college community.

* Assist in the development of the SSS Individual Graduation and Success Plan (IGSP).

* Assist in developing and conducting seminars on study skills, career exploration, financial literacy, transfer information, etc., as required.

* Assist in developing and revising instructional sessions based on individual learning needs specified in the IGSP for each participant.

* Assist with providing tutors and participants with relevant instructional aids.

* Participate on college-wide committees as assigned.

* Dispense necessary reports in a timely manner.

* Attend all called meetings appropriate to the position.

* Continue professional development through professional organizations, seminars, workshops, etc., to maintain and improve skills.

* Perform all other duties as needed to support and facilitate the essential functions of the Student Support Services project.

MINIMUM EDUCATION and/or EXPERIENCE

An associate's degree in office administration, business, accounting, or a related field from an accredited institution is required. Bachelor's degree preferred. Ability to utilize Microsoft Office programs (i.e. Word, Excel, Teams) for completion of daily tasks and communication is required.

A minimum of one year's experience working with TRIO or similar populations (low-income, first-generation, or persons with disabilities) is preferred. Knowledge of evaluation, financial aid, bookkeeping, and a background similar to the target population is preferred.

Preference will be given to candidates who can demonstrate through their experiences and accomplishments:

* Knowledge of community college policies and procedures.

* Knowledge of Banner or a related program.

* Knowledge of rules of grammar.

* Knowledge of generally accepted office practices and procedures, including records management.

* Knowledge of e-script.

* Knowledge of FERPA.

* Skill in operating a mouse to control a computer.

* Skill in operating a computer.

* Skill in utilizing a multi-line phone system.

* Skill in operating a fax machine, copier, scanner, label maker.

* Ability to follow instructions and adhere to prescribed routines.

* Ability to utilize Excel or other database software to sort and manage lists.

* Ability to utilize Word or other word processing tools to prepare and communicate information.

* Ability to make decisions based on correspondence, data or other information.

* Ability to utilize and search the internet for information.

* Ability to multi-task and prioritize issues.

* Ability to maintain confidential information.

* Ability to work and communicate with a variety of people from diverse backgrounds.

* Ability to utilize email systems to communicate information.

* Ability to work with minimal supervision/work independently.

* Ability to operate in a professional manner at all times.

* Ability to greet individuals of any background with friendliness, tact and courtesy.
