Duties / Responsibilities

WHAT YOU'LL DO:

This is the first level of the Records Series. The Records Specialist is responsible for the maintenance and updating of all law enforcement records for the city including the entry of all incident reports and criminal case files into law enforcement records management system (LRMS) and state and national informational systems.

Specifically, as the Records Specialist you will...

* Update, maintain and input all records and criminal files, including but not limited to: Scans documents to case files; scans case files to folders for department to access; classifies and code records to meet mandated federal, state and local reporting requirements; purges records in accordance with the record retention schedule; enters Hot Files into Portals; publishes DWI with DVS through E-charging; and redaction of body camera footage and reports.

* Release and disseminate data in accordance with data privacy and MN statutes. Answers questions and addresses inquiries from the public, other governmental agencies, and employees in accordance with guidelines. Provides information to other entities/offices e.g., law enforcement agencies, judges, probation officers and social services.

* Compile and process digital case files for the County Attorney's Office; compiles and retrieves available reports, photos, audio and videos, and criminal histories; and prepares digital case files for delivery to the County Attorney's Office.

* Perform front desk reception duties for anyone entering the Law Enforcement Center; escorts all parties/visitors that do not have security access. Collects, tracks, and processes fines and fees due.

* Develop and analyze reports, which may include forfeiture, departmental activities, and/or operations; conducts related administrative research e.g. gathering statistical information.

* Prepare and process firearm permit applications.

* Perform other duties of a similar nature or level.

Qualifications

ABOUT YOU:

A successful candidate will have some or all of the following ...

A high school diploma or G.E.D.; one () year of clerical or related experience; or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.

Licensing in:

* CJIS Security Awareness Training and Testing

* CCH Hot File Certificate

* Data Practices Training

* Gun Permit Training

* Redaction software training for body camera footage

* Notary public licensure; or

* Other certifications as may be required by the Department within 1 year of hire.

Knowledge of:

* Interaction with a public policy board

* Applicable equipment and tools

* Customer service principles

* Criminal justice system

* Applicable Federal, State, and Local laws, rules, regulations, codes, and/or statutes

* Data entry requirements, databases, and unit procedures and methods in the updating, recording, or destruction of agency files and records; maintaining legal chain of custody.

* Agency specialized applications, databases, and systems to perform the requirements of the job including and general office productivity software.

* Applicable regulations and policies

* English language, grammar, and punctuation

* Filing and recordkeeping principles

Skills in:

* Maintain confidentiality and security of all data, documents, and files in accordance with data practices rules and requirements.

* Oral and written communications

* Word processing and keyboarding skills

* Customer service

* Attention to detail and accuracy.

* Follow data entry requirements, databases, and unit procedures and methods in the updating, recording, or destruction of agency files and records, and maintaining legal chain of custody.

* Conduct criminal background histories and processing firearm permit applications

* Use agency specialized applications, databases, and systems to perform the requirements of the job including and general office productivity software.

* This is a full-time position. Monday through Friday, 8:00am to 4:30pm. Flexibility is important to us and our employees, schedule may vary based on needs.
