ESSENTIAL DUTIES AND RESPONSIBILITIES:

Event Logistics and Coordination:

* Lead the on-site operational aspects of special events, ensuring all event needs are met (e.g., setup, breakdown, transportation, and equipment).

* Oversee the deployment of resources such as staff, equipment, signage, and supplies to ensure a seamless event experience.

* Work closely with event organizers, vendors, sponsors, and other stakeholders to confirm schedules, deliverables, and expectations are met. Applies a continuous improvement strategy to programs and events.

* Provides exceptional customer service regarding general information, registration, usage, facility coordination, and rentals. Responds to complex customer concerns and complaints.

* Serves on the Town's special events committee. Serves as a resource to other Parks and Recreation and Town staff regarding special programs and events.

* Develops Requests for Proposal (RFPs), review contractors via the RFP process, and make contractor selection recommendations related to event and program operations.

* In coordination with the Senior Supervisor, develops and maintains an annual Parks and Recreation special programs plan that is inclusive and builds upon the participation of a variety of customer types.

* Utilizes event management software and other technologies to coordinate and manage programs and events. Recommends process improvements to ensure consistency and improve effectiveness and efficiency.

Staff Supervision and Training:

* Responsibilities include hiring, training, assigning, scheduling, reviewing, monitoring and planning the work of others.

* Supervises part-time staff and coordinates activities of the team responsible for running special programs and events within the Parks and Recreation Department.

* Provides input regarding management policies and procedures related to special programs and events within the Parks and Recreation department. Responsible for communicating and ensuring implementation of established policies and procedures.

* Monitor performance, address issues promptly, and provide ongoing support to maintain high levels of service and productivity. Recommends personnel actions and pay adjustments.

* Intermittently works with volunteer coordinator to ensure appropriate levels of volunteer support are provided for Parks and Recreation programs and events and other volunteer assignments.

* Maintains team certifications and training schedule, ensuring active status.

Budget and Resource Management:

* Prepares and monitors private and public facility rental and programs budget; monitors expenditures and revenue.

* Monitor and track event budgets for operational expenses, ensuring that costs stay within allocated budgets.

* Assist with the procurement of equipment, supplies, and services required for event execution.

* Maintain inventories of event equipment and materials, ensuring all items are properly maintained, stored, and available for use.

* Conduct post-event evaluations to assess successes, challenges, and areas for improvement.

* Compile event reports that include feedback, attendance, logistical data, and any recommendations for future events.

Safety and Risk Management:

* Assess risks associated with events, develop contingency plans, and ensure all necessary permits and insurance are in place.

* Coordinate with local agencies (e.g., police, fire department, public works) to ensure event safety and compliance with regulations.

* Ensure event sites are properly secured and that safety protocols are in place for both staff and attendees.

* Respond to emergencies or operational challenges during events, providing leadership and support to resolve issues quickly.

* Ensure proper cleanup and restoration of event sites following the conclusion of each event.

* Ensure compliance with city codes, safety standards, and environmental guidelines during event setup and operations.

* Performs other duties as assigned or required including administrative tasks.

Minimum Qualifications:

An equivalent combination of education, training, and experience that demonstrates required knowledge, skills, and abilities may be considered.

Education: Bachelor's degree in marketing, communications, recreation or a closely related field

Experience: Three to Five (3-5) years of experience in event planning, coordination, and/or operations, preferably within a Parks and Recreation or public sector environment; or any equivalent combination of education, training, and experience. One to two (1-2) years of supervisory or leadership experience is preferred.

Licenses and/or Certifications Required:

* A valid Colorado driver's license

* CPR and Firs Aid/AED Certification or the ability to obtain within 90 days of hire

Knowledge, Skills, and Abilities:

* Strong organizational, problem-solving, and time-management skills.

* Ability to work in a fast-paced environment, multitask, and handle high-pressure situations.

* Familiarity with event-related technology (e.g., event registration software, scheduling tools, etc.).

* Excellent communication skills, both verbal and written. Proficiency in Microsoft Office Suite and other software tools as required.

* Knowledge of risk management practices, safety protocols, and emergency response procedures.

* Ability to interact effectively with a wide range of people, including community members, staff, and external stakeholders.

* Ability to exercise sound judgment and make independent decisions.

* Ability to manage budget, communicate and coordinate with vendors, and has a clear understanding of public safety protocols.

* Knowledge of contracting outside services.

* Ability to work flexible hours, including nights, holidays, and/or weekends as needed.

Physical Demands:

* Sedentary work for long periods of time

* Occasional physical work lifting no more than 10 pounds

* Occasional lifting, carrying, walking and standing

* Occasionally required to use hands to finger, handle or feel objects, tools or controls; reach with hands and arms; and stop, kneel, crouch or crawl

* Frequent hand/eye coordination to operate personal computer and office equipment

* Vision for reading, recording and interpreting information

* Speech communication and hearing to maintain communication with employees and citizens

* Ability to work flexible hours, including nights and/or weekends as needed.

* Ability to drive to and physically access various parks and recreation facilities to plan for, set up and run special events.

Work Environment:

* Works primarily in a clean, comfortable environment

* Events may take place in a variety of settings, including outdoors in all weather conditions.

Equipment Used:

* Uses standard office equipment including a personal computer system

* This position may require the incumbent to occasionally use personal equipment (e.g. vehicle, cell phone, tools, etc.) in the course of their employment.
