SUMMARY:
Great Neck, New York based private family office seeks a high energy, well-organized, competent, hard-working individual to join a growing and entrepreneurial team as recruiting coordinator with administrative assistant skillset to assist the entire team. The successful candidate will have, among other characteristics, strong interpersonal and organizational skills, be highly reliable and discrete, be able to manage multiple tasks and processes under pressure and be extremely detail oriented. This position will provide support for the end-to-end recruiting process as part of the Human Resources team. The individual will ensure on-boarding success. This position will partner closely with external Recruiters, the HR team, internal and external Candidates, and key vendors involved in the staffing process.
THIS ROLE REQUIRES 3 TO 4 DAYS IN OFFICE IN GREAT NECK AND REQUIRES FLEXIBILITY REGARDING WHICH DAYS OF THE WEEK ARE REQUIRED EACH WEEK
PRIMARY RESPONSIBILITIES:
- Provide support to a high-volume HR Team, with various aspects of the end-to-end recruiting process
- Responsible for internal and external candidate interview scheduling and for making internal and external candidate travel arrangements and processing any reimbursements.
- Maintain and develop reporting through the current Applicant Tracking System.
- Job posting and classified ad placement as required.
- Guide and inform all Hiring Managers, Security team, and new hires through the entire on-boarding process.
- Escalating any issues related to on-boarding with the appropriate HR contact.
- Responsible for managing the end to end on-boarding process for external new hires, involving the following: drug screening, background checks, advising Hiring Managers of next steps, and maintaining proper handoffs to ensure a positive on-boarding experience for all involved.
- Responsible for updating and maintaining all recruitment-related documents and templates.
- Continue and build relationships with outside vendors, agencies and third-party connections.
- Key data entry into the applicant tracking system, ensuring data integrity and compliance, and generating reports based on data in the system.
- Experience with billing, invoice processing, and candidate expense reports for the HR team.
- Vendor setups, as needed
- Recommending process improvements to achieve operational excellence, and documenting processes and procedures
- Ad hoc project work within HR and working collaboratively with other functions.
QUALIFICATIONS AND EDUCATION REQUIREMENTS:
- High School diploma required; Associates or Bachelors degree preferred
- At least 2-5 years of human resources & recruiting coordinator experience preferred.
- Past experience with Applicant Tracking Systems (ATS) - Workday preferred
- Proficiency in Microsoft Office applications: Outlook, Excel, Word, Power Point, Teams
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Strong analytical and problem-solving skills.
- Ability to prioritize tasks and to delegate them when appropriate.

Estimated annual base salary range for this position is $50,000 - 60,000.
Base pay is only part of our total compensation package, which also includes an attractive annual discretionary bonus and robust suite of employee benefits for which you are eligible to participate in starting on your first day of employment.
Base pay offered will be determined on an individualized basis and we will consider your location, experience, and other job-related factors.
