General Information:
The Recruiting Programs Coordinator is a key part of the University Career Center who ensures proper administrative coordination of recruiting programs and coordination of employer events campus-wide. The primary purposes of the position are to: 1. Coordinate the Recruiting Program including scheduling on-campus interviews, managing pre-interview requests, providing onsite assistance, and posting interview inquiries. 2. Serve as the employer point of contact for campus wide recruiting activities. 3. Co-coordinate the University Career Fair, typically a two-day event that is offered in the fall and spring semesters. Works with other campus partner fairs as well.
Duties and Responsibilities:
INTERVIEW CENTER CLIENT SERVICES
- Collaborate with Operations Manager on the use of UCC interview Center space including student requests for interview rooms as interview or study space,
- Coordinate the On-Campus Interviewing Program including approving on-campus interview requests, pre-interview and onsite assistance, and post interview inquiries.
- Ensure that students and employers complete a brief survey before leaving the Interview Center.
- Engage with employers as part of overall effort to develop relationships with them and encourage them to connect with our students, services and academic programs.

- Greet guests, answer questions, and help visitors and employers in person and by phone when student assistants are not available.
- Assist with follow up calls, emails or other requests as needed.
COORDINATION OF CAREER FAIRS & EMPLOYER EVENTS-
- Serve on career fair team to assist with the planning and coordination of 10 career fairs annually.
- Coordinate employer event requests (virtually and in person) including Handshake administration
- Communicate with employers regarding events including answering questions in a timely manner
- Monitor and approve employer registrations of fairs, interviews and events and record in Handshake
- Communicate with other UCC staff and campus partners to get events approved
- Evaluate post-fair employer feedback
- Coordinate logistics including parking for campus events
HANDSHAKE ADMINISTRATION
- Prepare schedules and request room-only schedules before arrival.
- Record and follow up on no shows/late notice cancellation issues.
- Reconcile schedule changes and add room only schedule information in Handshake once interviews are completed.
- Schedule and record in Handshake virtual & In-person interviews taking place interview rooms throughout the semester.
- Manage employer event approvals, including labeling with the appropriate career community and reserving space on campus.
- Address student concerns, manage scheduling mishaps, and reach out to students to fill schedule gaps.
- Oversee student assistants processing jobs in Handshake, ensuring compliance with JMU's recruiting policies and offering guidance when necessary.
- Assist with job approvals during breaks and as needed when student assistants are unavailable.
- Assist with Handshake usage data collection and reporting, including reports on students and employers using our services, as well as prospective reports on employers we want to connect with.
- Communicate with Handshake representatives to resolve issues for employers and students.
GENERAL OFFICE & PROGRAM SUPPORT
- Coordinate, as needed, with others in UCC to develop staff training relevant to employer services.
- Participate in professional development activities related to career services.
- Monitor and inventory office supplies; communicate supply needs to office manager.
- Participate in departmental meetings and planning activities.
- Provide back-up coverage for University Career Center's front office operations as needed.
- Attend to and support various functions throughout the department, including reception and scheduling duties that are not related to employer services, and assist with a variety departmental projects and programs as needed.
- Promote the UCC by participating in tabling events at resource fairs and open houses as well as other campus partner events requesting UCC assistance.
- Assist with data collection and other essential processes related to first destination/career outcomes research.
Qualifications:
Required:
- Understanding of the on-campus recruitment proces
- Knowledge of NACE ethical standards for both recruiters and students
- Proven customer service skills and the ability to work with different types of people
- Attention to detail and focus on accuracy
- Ability to think analytically and logically
- Ability to manage operations independently
- Ability to work with university faculty
- Windows, Office 365
- Spreadsheet and database management programs (MS Excel)
- Demonstrated experience and proficiency in oral and written communication
- Skills in office administration and organization
