If you answered yes to these questions, then this could be a great opportunity for you!The Recruitment Coordinator will provide confidential and technical assistance to the Department of Community Justice (DCJ) HR recruiters, applicants, managers and employees in the daily procedural and administrative functions of recruitments; to research, compile, and summarize data; to initiate and prepare personnel actions; to answer and/or refer questions and inquiries; with duties to include recruitment administrative support, communication triage, reporting, data tracking, outreach support and special projects as assigned.Essential Functions for the Recruitment Coordinator:Recruitment CoordinationAssist with scheduling and preparing interview packets for interview panels.Track recruiting timelines and metrics.Post recruitment advertising on various diversity and job board websites as needed.Respond to questions from managers, supervisors, employees, and candidates about recruitment processes, labor contract and Personnel Rules requirements, career development, Workday questions and processes, resume development, etc.Respond to commonly asked questions and provide recruitment resources to managers, supervisors, employees, and candidates regarding application, assessment, recruitment, and selection processes, or refer to Recruiter as appropriate.Triage Recruitment email as needed.Research, organize and review recruitment actions and activities to develop reports and spreadsheets for the Recruiter to evaluate.Develop improvements on data sharing with Recruiter and hiring manager to demonstrate real-time communications and transparency.Evaluate forms, requests and emails for required actions and approvals, and follow up on missing steps to include answering questions and educating hiring managers and support staff on process as supported by labor contracts, County Personnel Rules, DCJ Guidelines, etc.Enter and verify data and required actions in Workday, Google documents, web forms, etc. as a responsible party to set up and organize a new recruitment.HR SupportSet up for lateral transfer opportunities and other job advertisements.Coordinate language proficiency exams and charges to the hiring manager budget.Assist Recruiters with close out of exam files, scan interview notes and upload to recruitment file.Escalate concerns to the Recruiter, as needed, otherwise work to resolve questions and requests with respectful and timely communication.Connect with Labor Relations and other parties, as directed, to research information, seek direction, and connect in partnership to resolve concern/situation.Communicate with Recruiter with updates and resolutions before, during and/or after the research process.Gather and track questions or concerns that may involve labor contract or Personnel Rules concerns or interpretations, which are shared with the Recruiter for additional assistance.New Hire Orientation SupportThe Department of Community Justice is looking for an experienced Coordinator who can demonstrate expertise in the following areas:Strategic Planning / Leadership: You will develop goals and direction based on the overall county/department mission and vision to increase community safety through positive change.Relationships and Community: You will build positive and sustainable relationships with a range of key internal and external stakeholders.Leading Cross-Culturally: You will foster an inclusive workplace where diversity and individual differences are valued and leveraged to achieve the vision, mission, and goals of the organization.Team Building: You will develop, inspire, and foster employees to work collaboratively.Organizational Savviness: You will demonstrate understanding and good judgment of organizational culture and interpersonal relationships, with both internal and external groups, to identify opportunities of mutual interest and benefit.Delivery: You will ensure services are provided by quality processes through monitoring and understanding.Outcomes: You achieve quality outcomes for the individual, the organization, and the county.Personal Development: You will strive for an honest and accurate assessment of oneself and demonstrate willingness for continuous improvement.Functional/Technical: You possess specific knowledge about laws, regulations, certifications, licensure and skills for specific assignments.WORKFORCE EQUITYAt Multnomah County we are committed to maintaining an effective, respectful and inclusive workplace.
