David Mason + Associates is looking for a Recruiting Coordinator/Generalist who will support the recruitment process, collaborating closely with the Senior Recruiter to coordinate candidate interactions, conduct initial interviews, manage the hiring pipeline. Primarily focused on recruitment, this role will also assist with selected HR functions under the guidance of the HR Director as needed. ESSENTIAL DUTIES:
- Partner with the Senior Recruiter to understand hiring needs, timelines, and desired candidate profiles.
- Post job openings across platforms and managing applicant flow efficiently.
- Screen resumes and conduct initial phone or virtual interviews to assess candidate qualifications.
- Schedule and coordinate interviews with candidates, Senior Recruiter, and Division Managers, ensuring a smooth process.
- Communicate interview progress, feedback, and next steps to candidates.
- Assist in preparing offer letters as needed, managing recruitment documentation, and maintaining accurate candidate records in the HRIS system (UKG).
- Assist in new hire check-ins for ins for 40 days, 90 days, and 6 months as assigned by Senior Recruiter.
- Assist in Coordinating/Scheduling DMA summer internship and Co-Op programs offered in all office divisions.
- Attend STL-Area AEC recruiter luncheon quarterly with Senior Recruiter
- Follow and abide by the DMA employee handbook and safety manuals.
- Work closely with Senior Recruiter to ensure a seamless hiring process.
- Attend career fairs and recruitment events to represent the company and attract top talent.
- Effectively communicate the company's culture, values, and career opportunities to prospective students/ candidates.
- At times, attend events independently, requiring a comprehensive understanding of company policies, culture, and hiring needs.
- Gather and track candidates leads from events for follow-up and potential interviews.
- Assist with the onboarding process for new recruits by coordinating pre-employment requirements and documentation as needed.
- Assist in new hire orientation sessions, introducing employees to company policies, and organizational culture as needed.
- Ensure compliance with all pre-employment and onboarding requirements in coordination with the HR Director.
- Assist the HR Director, Senior Recruiter and HR team with accurate employee records and personnel files.
- Respond to employee inquiries regarding general employment questions.
- Contribute to fostering a positive, inclusive workplace culture by supporting HR initiatives and events.
- Assist office Administrator(s) to better improve employee engagement and morale through events, games, etc.
- Maintain and organize recruitment and HR documents, files, and records.
- Provide administrative support to the Senior Recruiter and HR Director, including meeting scheduling, document preparation, and report generation.
- Handle additional duties as assigned to support the HR team's objectives.
