As the Refuge Quality Assurance Assistant, you will be primarily responsible for assisting and supporting program staff and management with quality assurance tasks as required by contracts and fundings. This individual will conduct performance-based quality checks to ensure compliance with agency, Council of Accreditation (COA), Department of Homeland Security (DHS), county, VOLAG and other funder requirements, while staying informed and communicating best practices on quality assurance at their respective branch location. This position is expected to function effectively with regular supervision while following the guidelines given on procedures, along with agency, federal, and state licensing regulatory requirements. ESSENTIAL JOB RESPONSIBILITIES
  • Monitor compliance as it pertains to branch paperwork, files, and electronic records;
  • Perform reporting requirement and quality checks with staff to ensure all requirements are met, including deadline dates and actual submission dates to ensure program integrity;
  • Assist with case file reviews and provide feedback;
  • Maintain efficient operations within the office by ensuring that activities are being completed in a timely manner;
  • Use the various information management systems to meet essential functions of position;
  • Process CRM tasks in a timely manner, along with answering familial questions, monitor program status reports, and communicating delinquent work assignments to assigned supervisor and/or program manager; Receive, answer, and route phone calls appropriately;
  • Attend and actively participate in events, training, staff meetings, etc. as required
  • Stay abreast of all agency, federal, and state regulatory requirements related to the Branch's refugee programs;
  • Actively participate in various Bethany subcommittees that are related to policy, performance, and process improvement, as requested;
  • Effectively track statistical data for program staff and overall program performance;
  • Assist with reviewing home study requirements for URM foster parents and licensing standards;
  • Effectively track and analyze report completion timeframes and permanency timelines;
  • Assist with providing the appropriate feedback and tools needed to resolve non-compliance situations related to contract compliance and performance for the work site;
  • Collect feedback surveys from case management staff and enter into the database to summarize for refugee staff for analysis and continuous quality improvement. File surveys into individual client case files.
  • Collect required paperwork from medical providers and case management staff, ensuring clients have signed consent forms for release of information;
  • Ensure the quality of all medical documents and that all required documents are included for the programmatic and contractual partnerships;
  • Submit full medical records to the contractor by the assigned due dates;
  • Review a sample of case files on a quarterly basis and share results with URM and R&P supervisors and director;
  • Complete report of quarterly case file results to the State refugee program liaison;
  • Complete other duties as assigned.
QUALIFICATIONS:
  • Bachelor's level degree in Human Services or related field of study from an accredited college.
  • Must have a broad knowledge of basic principles, concepts, and methodology of Human Service as acquired through a Bachelor's level degree;
  • At least two (2) years of prior experience serving a in a similar role within a refugee serving agency, preferred;
  • Demonstrated experience and familiarity with HIPAA regulations, a plus;
  • Excellent verbal and written communication skills;
  • Must exhibit an ability to apply the principles of logic and critical thinking with problem solving;
  • Must be reliable with time sensitive deadlines and tasks;
  • Exercise a high level of confidentiality;
  • Must be highly motivated and able to take initiative;
  • Work well under pressure and adaptable to change;
  • Computer skillssufficient to perform essential functions including knowledge of MicrosoftOffice suite;

  • Must be 21 years old with a valid driver'slicense with at least 3 years driving experience to operate a vehicle on behalfof Bethany. Must also pass a Motor Vehicle Records (MVR) check and maintain areliable vehicle with proof of adequate insurance coverage;
  • Pass a criminal history screen, including state and local child protection agency registries;
  • Subscription to and integration of the agency Statement of Faith, Mission Statement, and Diversity, Equity and Inclusion Commitment.
