Under the direction of and reporting to the Register of Wills of Delaware County, a Register of Wills Deputy is sworn in to uphold the Commonwealth of PA and the duties of the Register of Wills office. The Deputy ensures that the citizens of Delaware County are met with professional, efficient and knowledgeable service. The Register of Wills Deputy meets with the public to assist in the filing of paperwork in regard to estate administration.
This position involves a combination of managerial and paralegal-like duties including the oversight of employees (clerks), primary responsibility for filing and court reports, and primary responsibility for advising of procedural requirements for filing petitions in Orphans' Court.
Essential Duties
Under the direction of the Register of Wills, the Deputy/Paralegal will:
Oversees and assists with training and supervision of Register of Wills staff & meets with Register of Wills employees to review and delegate duties and oversee progress and workflow.
At the request of the Register, attends Register of Wills hearings and swears in witnesses and takes notes on the Hearing.
Attends Orphans' Court hearings to assist with the preparation of Certifications of Notice under PA Orphans' Court Rule 10.5 and Status Reports under PA Orphans' Court Rule 10.6 as needed.
Attends weekly Deputy Meetings to work on managerial strategies & to discuss office procedures and new ideas.
Reviews and approves all staff's requests for vacation days based on coverage need for the office.
Manages shared calendar for the Register and fellow Deputies. Inputs staff's days off, meetings, events etc.
Oversees clerk preparing list of Accounts for Audits. Reviews for any errors before sending to newspapers for advertising. Reviews and approves proofs sent from newspaper.
Corresponds with software system when needed, regarding daily and monthly financial reports. Attends webinars, conference calls etc. with computer software company.
At the request of the Register participates in interviews with potential new hires.
Signs certified copies of various documents in Register of Wills, Orphans Court and Marriage License daily.
Other duties as assigned.
Qualifications
High school graduate or equivalent. College Preferred
Strong computer skills, including Microsoft Office
Strong verbal and written communication skills
Experience in managing people
Able to multitask, prioritize, and manage time efficiently
Paralegal and/or experience with Orphans' Court is preferred
Physical Requirements
Normal, good health
