Registration Administrator

The Johns Hopkins Krieger School of Arts and Sciences (KSAS) is seeking a Registration Administrator within the Advanced Academic Programs (AAP) Registration department, who will assist the Assistant Director of AAP Records (AD AAP Records) in the management of AAP student records, course registration, faculty support, SEAM cases, testing and auditing systems, and auditing the student information systems. This position will report to the Director of Enrollment Management Services and receive significant oversight, direction, collaboration, and assistance from the Assistant Director of Student Records. This is a fully remote position that will supervise two records and registration specialists.

Specific Duties and Responsibilities

Management and Special Projects (50%)

* In collaboration with the Assistant Director of Student Records assess, manage, and resolve problematic developments throughout regular system upgrades and new system implementation.

* Supports in ensuring JHU|AAP policies and legal guidelines are clearly communicated through office procedures and staff training and evaluates staff performance.

* Maintain a positive, collaborative relationship with key stakeholders from AAP and other JHU divisions.

* Assists in the development and execution of strategies, policies, and processes to ensure data integrity.

* Serves as a backup to the Assistant Director of Student Records for reviewing exceptions to academic policy.

* Evaluate timelines for existing processes and maintain comprehensive documentation to reflect changes in policy, technology, or business needs.

* Motivate, supervise, coach, and delegate projects to ensure balanced workloads and high efficiencies in a high-paced, time-sensitive work environment.

* Analyzes performance for two direct reports (Records and Registration Specialists)

* Subject Matter Expert in SIS, Registration, Record Management, Academic Policy, FERPA Compliance, Scheduling System, and Graduation Clearance for AAP

Academic Records (20%)

* Train, supervise, and oversee student graduation clearance/record review.

* Complies with the Family Educational Rights and Privacy Act (FERPA) to preserve the confidentiality and archival integrity of education records.

* Ensure compliance with the established efficient and effective collection, maintenance, archival, and release of student records at AAP.

* Provides quality control assurance of student records

* Provides periodic registration and other reports for senior staff as needed

* Support in the processing of probationary and dismissal letters to students

* Assists with adding and updating transcript notes

* Upholds the integrity of the degree clearance process.

* Leads the process of documenting Presidents' letters pertaining to graduation.

* Provides support in validating student information for commencement materials.

Registration (15%)

* Publish, manage, and track the AAP academic calendar.

* Assists with course scheduling and system configuration for registration.

* Manages the waitlist process for oversubscribed courses.

* Serves as the decision maker for SEAM cases escalated to AAP.

* Provides additional support as a functional lead for SIS.

* In collaboration with the Assistant Director of Student Records, develops, recommends, implements, and evaluates new registration and records processes and policies, in an effort to meet the changing needs of each of our constituencies, including students, faculty, and staff.

Academic Policies and Procedures (5%)

* Serves in a data and content validation role for AAP content in the annual university catalog.

* Responsible for the distribution of clear communication regarding policies and procedures to students, faculty, and staff.

Reporting and Enrollment Projections (5%)

* Supports the AAP Records and Registration office in the collection of accurate and appropriately reported statistical information for internal and external use and for the IPEDS reporting to the state and federal government.

* Creates ad hoc reports on enrollment and student performance.

Degree and Enrollment Verification (5%)

* Meet with investigators from the federal government to provide enrollment verifications as needed.

* Responsible for resolving escalated cases regarding enrollment, student records, and registration from partner offices.

Special Knowledge, Skills, and Abilities

* A thorough understanding of school and university registration procedures as well as the school's course and student database systems.

* A strong working knowledge of the school's academic policies relating to degree requirements, grading policies, and academic progress.

* Ability to consistently provide accurate data and maintain confidentiality of sensitive and/or personal information.

* Ability to manage a substantial workload while effectively prioritizing tasks.

* Have exceptional initiative and judgment and customer service orientation.

* Ability to work effectively with faculty, administrators, students, alumni, and external constituents.

Level of Independent Decision-Making

* Following the introductory period and required training, this position will function independently with limited oversight.

Technical Qualifications or Specialized Certifications

* Proficiency in Microsoft Office Suite.

* Familiarity with Electronic Document Management Systems (EDMS) such as SharePoint or OnBase.

* Experience with Cloud-Storage Services such as Microsoft OneDrive.

Physical Requirements

* Ability to sit in a normal seated position for extended periods of time.

* Reaching by extending hand(s) or arm(s) in any direction.

* Finger dexterity is required to manipulate objects with fingers rather than with whole hand(s) or arm(s), for example, using a keyboard.

Minimum Qualifications

* Bachelor's Degree.

* One-year related experience.

* Additional education may substitute for experience to the extent permitted by the JHU equivalency formula.

Preferred Qualifications

* Excellent technical skills related to various computer technologies, including familiarity with mainframe and PC-based computer systems is essential. Experience with at least one relational database/Student Information System (SIS).

* Knowledge of Family Educational Rights and Privacy Act (FERPA).

* Knowledge of personnel management, supervision, and staff training.

* Excellent customer service, interpersonal, oral, and written communication skills.

* Excellent organizational skills with great attention to detail.

* Must be able to communicate goals and expectations, have solid autonomy, and create a positive working environment.

Starting Salary Range: $48,000 - $84,100 Annually ($80,000 targeted; Commensurate with experience)

The referenced base salary range represents the low and high end of Johns Hopkins University's salary range for this position. Not all candidates will be eligible for the upper end of the salary range. Education and Experience Equivalency

Please refer to the job description above to see which forms of equivalency are permitted for this position. If permitted, equivalencies will follow these guidelines: JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
