This position requires strong organizational skills, attention to detail, and excellent communication abilities.Responsibilities: Appointment Management:
  • Coordinate and manage appointments, meetings, and consultations for clients and team members.
  • Schedule travel-related arrangements, including flights, accommodations, and transportation, based on client preferences and availability.
Calendar Management:
  • Maintain and update calendars for team members, ensuring accuracy and efficiency in scheduling.
  • Monitor and prioritize calendar conflicts and adjustments in collaboration with relevant stakeholders.
Communication:
  • Serve as a point of contact for scheduling inquiries and requests, responding promptly and professionally via phone, email, and chat.
  • Liaise with clients, vendors, and internal teams to confirm appointments, resolve scheduling conflicts, and communicate changes as needed.
Documentation:
  • Keep detailed records of appointments, schedules, and itineraries in the company's database systems.
  • Prepare and distribute relevant documentation, including meeting agendas, travel itineraries, and appointment reminders.
Customer Service:
  • Provide exceptional customer service to clients, assisting with inquiries, bookings, modifications, and cancellations as necessary.
