Job Summary The Reservation Sales Manager's primary responsibility is to drive revenue through effective management of the reservations processes. Those processes include improving agent lead conversion through coaching and managing staffing levels to optimally capture as many reservations as possible. Job Duties and Responsibilities
- Oversee the daily operation of the Reservation Sales department which includes switchboard operations.
- Ensure the accuracy of lodging rates, packages, services, special promotions and unit availability in both the internal reservations system and online distribution channels.
- Assist the Revenue Manager with yield management by monitoring and analyzing occupancy levels, room types, promotions, restrictions, building and changing rates, billing, packages, minimum night stay requirements, etc.
- Manage lodging rates, packages and room blocks (when applicable) for all internally sponsored events and promotions.
- Assist Property Management with owner lodging revenue inquiries and revenue redistribution, special owner requests, trades, etc.
- Monitor complimentary room use policies and RCI reservations. Maintain and consistently review departmental log books which includes comp book, tape chart, daily reports, etc.
- Manage and analyze data and prepare relevant reports on a reoccurring schedule.
- Actively participate in appropriate resort meetings.
- Interview and hire new employees and document performance and discipline of current employees.
- Coordinate and implement training for new and current reservation sales agents and switchboard operators and assist other departments with ongoing SMS training.
- Lead team to ensure all the resort's key service standards are being met by measure of guest satisfaction ratings.
- Utilize REVINATE best practices.
- Perform regular coaching and evaluation to promote skill development and maximize departmental and employee performance.
- Manage the reservation sales team to achieve service level and abandonment goals, including forecasting and scheduling.
- Investigate, resolve, and respond, in oral or written form, to customer inquiries regarding problems with agents, reservations, or billing.
- Manage department budget, including incentive plans and staff compensation. Transmit information to the payroll department in a timely fashion.
- Maintain and organize all internal and external departmental communication.
- Answer reservation phone calls when needed.
- Other duties as assigned.
Job SpecificationsCompetencies:
- A minimum of 2 to 4 years supervisory or managerial experience.
- Previous experience with SMS (Springer Miller Systems) preferred.
- Ideal candidates will possess a minimum of 2 to 3 years of Reservations experience or commiserate skill sets.
- Advanced skills in Microsoft Office Suite applications (Excel, Word, Access, Outlook, PowerPoint). Able to create accurate reports in Access & Excel with formulas and graphs.
- Able to analyze, interpret and present data in various formats.
- Understanding of overall resort operations and departmental functions
- Ability to communicate with clear and concise correspondence to include verbal, email, letters and notes.
- Ability to effectively present information in one-on-one to customers, clients and other employees of the organization.
- Effective business writing skills (grammar, vocabulary, clarity and brevity).
- Self-directed and able to maximize use of time, resources and technology.
- Knowledge of various office technologies.
- Maintains office, employee and company confidentiality at all times.
