Job Description Position Summary: The Resident Receivables Specialist is a key member of our Property Management Corporate team, responsible for maintaining the financial integrity of resident accounts. This role ensures the accurate application of concessions, fees, and charges, while diligently managing payment delinquencies, overseeing deposit refund activities, and maintaining consistent communication with residents. The Resident Receivables Specialist plays a pivotal role in our financial management strategy. Essential Duties and Responsibilities include the following. Other duties may be assigned.
  • Current Resident Accounts Receivables: Maintain accurate records of resident accounts, ensuring all transactions are properly documented.
  • Apply Concessions: Accurately apply concessions and discounts to eligible resident accounts.
  • Apply Charges & Fees: Process additional charges and fees, adhering to company policies and guidelines.
  • Manage Delinquency Notes: Keep detailed records of delinquency notes and take necessary actions to address payment issues promptly.
  • Manage Delinquency Tracker: Maintain a comprehensive delinquency tracker to monitor and manage overdue payments.
  • Record Returned Payments: Process returned payments and update resident accounts accordingly.
  • Send Out Late Letters: Prepare and send late payment notifications to residents.
  • Send Out Formal Demand for Payments: Issue formal demand letters as needed, following legal and company protocols.
  • Deposit Refund Management: Manage deposit refund activities, including submittals and tracking.
  • Small Balance Due Collections: Work on collecting small balance due amounts from residents.
  • Audit Scheduled Billing: Regularly audit scheduled billing to ensure accuracy and compliance.
  • Manage Other Income Variance: Monitor and manage income variances, ensuring all revenue is accounted for.
  • Security Deposit Audit: Conduct security deposit audits in accordance with company policies and local regulations.
  • Ensure Compliance with Landlord/Tenant Laws: Stay informed about state and local Landlord/Tenant laws and ensure compliance.
  • Training Support: Assist in training property-level staff on correct procedures for rent collection and handling delinquencies.
Organizational Responsibilities:
  • Follows established policies and procedures by monitoring and ensuring compliance with regulatory requirements, organizational standards, and operational processes related to area(s) of responsibility and reporting violations or infractions to appropriate individual(s)
  • Practices proper safety techniques in accordance with Company, property, and departmental policies, procedures, and standards by immediately reporting any mechanical or electrical equipment malfunctions, employee/visitor/resident injuries or accidents, or other safety issues to appropriate individual(s)
  • Keeps abreast of current changes in technology, processes, and standards within the industry and area(s) of responsibility by attending internal and external training programs and by accessing other sources of information and applies knowledge and practices to area(s) of responsibility.
Work Hours (may vary by state or location): This position is scheduled for 40 hours in a regular work week. Must be able to perform the essential job functions unaccompanied.   • High school diploma or equivalent (some college coursework preferred).
  • Prior experience in property management or related field is a plus.
  • Proficiency in property management software (e.g., Yardi, Entrata) and Microsoft Office.
  • Strong understanding of Landlord/Tenant laws and regulations.
  • Excellent organizational and communication skills.
  • Detail-oriented with a focus on accuracy.
Computer Skills: Demonstrated proficiency in word processing, property management applications, and spreadsheet management programs in order to complete required reports and employment documents. Strong personal computer skills, including Microsoft Word, PowerPoint, and Excel; must have familiarity with Adobe Photoshop and Illustrator. Proficiency and fluency in using the internet for marketing, advertising, and sales-related circumstances, including using Google and other search engines, and navigating the internet and websites. Certificates and Licenses: Current valid driver's license is required. Supervisory Responsibilities: This job has no supervisory responsibilities.
