The Office of Residential Life strives to provide a safe, supportive and inclusive residential environment which complements and extends the educational experience of students. As a residential campus, undergraduates are required to live on campus throughout their Wesleyan career. The diversity of housing options affords our students the opportunity to experience increasingly independent living as they progress through their time at Wesleyan. A variety of housing options are also available to graduate students who choose to live on campus.Reporting to the Assistant Director of Residential Life, the Residential Operations Coordinator is a part of a dynamic Residential Life team responsible for effectively meeting the needs of over 2,900 undergraduate and graduate students.The Residential Operations Coordinator will be an integral part of supporting the overall success of the department and participate in department meetings and contribute to the department's decision-making, including strategic planning and assessment efforts.
Responsibilities include:Residential Facility Access Management:- Manage, distribute, collect, inventory, and maintain all residential keys throughout the year including winter break and summer housing.
- Maintain inventory of universal keys and manage security system for master key access.
- Manage, assign, and maintain all residential card access, including break access, for undergraduate students, graduate students, registered guests and live-on professional staff.
- Manage access and coding for all electronic locking mechanisms.
- Manage and assign access for Universal Key safes.
- Implement and manage new wireless access technology in student residences.
- Assist with building and maintaining StarRez database management as it relates to office initiatives.
- Conduct utilization assessment of loaner keys for lockouts.
Office Management:- Oversee the daily operational function of the reception area of the office of Residential Life.
- Recruit, train, and manage payroll for student office assistants for central office and three satellite offices throughout the year including winter break and summer staffing.
- Supervise and manage student office assistants in the central Residential Life Office.
- Create Excel spreadsheets to manage summer housing process.
Residential Logistic Operations:- Under the direction of the Assistant Director, plan and execute the opening and closing of all residential units, including transition housing, winter break housing and summer conferences.
- Determine break housing and relocation assignments, communicate with students regarding housing transitions between terms.
- Manage assignments of graduate students, including establishing priority/waitlist for incoming graduate students, and mediating disputes, including de-escalation. Represent department on Graduate Student Advisory Board.
- Serve as the contact person for students approved to have an Emotional Support animal, meet with all students to review care and handling expectations and address violations/concerns.
Customer Service/Departmental Relations and Communications:- Serve as a resource to students, assisting them with problem solving and accessing other university departments as appropriate.
- Assist students with understanding and navigating departmental policies and procedures.
- Develop and manage the office of Residential Life website.
- Liaise with Physical Plant Managers and tradespeople to address maintenance and repair issues.
- Serve as the primary contact for Residential Life with outside vendors, coordinate services and access to student residences.
- Other duties as required.
- Some weeknight and weekend hours required.
Minimum Qualifications - Bachelor's degree or equivalent combination of education and experience.
- Intermediate knowledge of Microsoft 365, Google Docs and web page management software.
- Experience creating spreadsheets in MS Excel .
- Demonstrated ability in managing multiple projects simultaneously.
- Effective communication skills.
- Demonstrated ability to set priorities.
- Excellent customer service skills including problem-solving and troubleshooting.
- Excellent time management and organizational skills.
- Ability and willingness to learn new technology/platforms.
- Strong attention to detail and accuracy.
- Commitment to University diversity goals.
- Availability to work some weeknight and weekend hours.
Preferred Qualifications- Previous experience in Student Services, Student Affairs, or working with young adults.
- Working knowledge of management/student information systems, Cascade, StarRez Housing Software, database management or card access system.
- Experience with assessment creation or data analysis.
- Experience with managing Social Media accounts.
