Overview:

ORGANIZATION: Milestone Centers Inc. DEPARTMENT: IDD Residential Program POSITION: Residential Scheduling Manager STATUS: Full Time, Office hours are Monday-Friday 8:00am-3:30pm but evenings and/or weekends occasionally required

LOCATION: Wilkinsburg, Mostly office based with travel required to residential sites as needed

Milestone Centers, a subsidiary of Partners For Quality Inc., is a nonprofit, community-based human services agency supporting individuals with behavioral health challenges and intellectual & developmental disabilities in communities throughout Western Pennsylvania. Milestone Centers has earned certification from the Sanctuary Institute for providing trauma-informed care.

Responsibilities:

The Residential Scheduling Manager is responsable to manage, coordinate and assist with the scheduling functions of the IDD Residential program.

  • Works with Residential Site Supervisors to ensure appropriate services and supports at all sites through coordination and scheduling of Direct Support Professionals (DSPs) (both Milestone & Contracted Agency staff) in When I Work, including call-off management and appropriate scheduling for medication administration and transportation to appointments, day programs and other community activities.
  • Collaborates with Supervisors to manage time off requests and secure coverage as needed.
  • Assists Supervisors and Residential leadership with oversight and management of schedule templates in When I Work and assists with adjustments to templates as changes are made to Position Controls. Ensures that schedules are published according to the prescribed calendar requirements.
  • Monitors all scheduled time in When I Work and manages Milestone DSP overtime and number of Agency shifts to ensure that it remains within allowed parameters.
  • Monitors and maintains an accurate and up-to-date list of DSPs by status, position, site and supervisor.
  • Enters and archives DSPs in When I Work as needed. Ensures that DSP tags (certified driver / med. passer / etc.) in When I Work are accurate and up to date.
  • Communicates with contracted Agencies re: staff availability and scheduling and works with Partners For Quality Human Resources to monitor and maintain an accurate and up-to-date list of active / available (credentialed/trained) contracted Agency staff. Ensures that these staff are entered or archived in When I Work as needed.
  • Assist in the management of Casual DSPs through outreach and communication regarding open shifts. Inform the Residential Director when a Casual DSP is not responding and/or has not worked for more than 1 month.
  • Assists Residential management with monitoring completion of training as required in Relias for Milestone DSPs and Contracted Agency staff. Provides reminders to Supervisors and DSPs as to what training is due/overdue.
  • Assists in monitoring of and scheduling completion of DSP bi-annual requirements.
    • Annual employee physical examination and TB tests
    • CPR & First Aid (and facilitates registration for CPR & First Aid classes as needed)
  • Assists with the tracking of other required trainings (Relias, Annual ISP, etc.) and facilitates completion by scheduling additional hours for DSPs as needed.
  • Coordinates and communicates the Site Supervisor on-call schedule.
  • Participates in IDD teams, committees and meetings as assigned.
  • Other duties as assigned.

    Qualifications:
    • High School Diploma or equivalent and 5 years of experience working directly with people with disabilities; OR

    Associate degree or 60 credit hours from an accredited college or university and 3 years of experience working directly with people with disabilities; OR

    Bachelors Degree from an accredited college or university and 2 years of work experience working directly with persons with disabilities

    • Ability to lift and transfer without restriction
    • Act 34 clearance and FBI background check, if applicable
    • Valid PA Drivers license
    Minimum Compensation: USD $43,000.00/Yr. Maximum Compensation: USD $43,000.00/Yr.
