Job Functions:

The Administrative Assistant will provide comprehensive administrative support to ensure efficient operation of the Resiliency Center. The position will be responsible for the management and disposition of all referrals, assist in the collection of billing and presentation of vital data and statistics related to grants and overall activities of the clinic. The Administrative Assistant will also provide exceptional customer service to all Metropolitan Ministries guests and visitors. The Administrative Assistant will be responsible for answering calls, directing guests and visitors to appropriate departments as well as ordering supplies for various departments.

Essential Responsibilities:

  • Manages front desk and assist with oversite of interns.
  • Coordinates and schedules intakes for referrals for Counseling and Resiliency Center.
  • Assists in determining eligibility of referrals and directs to appropriate resources.
  • Manages appointment calendar for Counseling and Resiliency Center
  • Assists in assignment of office space for internal and external programs.
  • Inputs and maintains accurate client records in electronic health records (TheraNest and Clarity) and ensures confidentiality in compliance.
  • Answer phone calls, respond to inquiries via email, and direct calls and e-mails to appropriate staff members.
  • Provides clients with information about services, and other Metropolitan Ministries related programs.
  • Assists in the intake process, collecting necessary documentation and information for new clients.
  • Closes out referrals (per department policy) in Theranest as well as on the Master Referral Log.
  • Completes disposition section on Master Referral Log to indicate outcome of referral.
  • Primary point of contact for collection of verification of income information for sliding scale fee clients and entering this data into electronic health records.
  • Collects payment from clients on sliding scale fee and submits billing reports to accounting.
  • Assists in collecting monthly KPI and grant outcomes and shares with Administrative Management.
  • Provides support to Intern development Program and assist with activities/events.
  • Orders office supplies and manages inventory as needed for program departments.
  • Completes administrative requests for the Program Directors as needed in Residential, Education, Counseling and Case Management.
  • Supports the team in other tasks assigned and attends all team meetings. Provides occasional support to other departments when appropriate.
  • Supports the holiday tent operations as directed.
  • General clerical duties as assigned.
  • Requirements

    Education and Experience:

  • High school diploma or equivalent
  • Two year's experience in clerical or medical office setting (preferred)
  • Skills Requirements:

    Bilingual (Spanish) preferred. Requires a heart for ministry and comfort working with poor and homeless families and individuals. Requires an understanding of poverty, a high degree of maturity, strong interpersonal skills, and the ability to work with low socio-economic and diverse populations facing crisis situations in a professional and diplomatic manner. Knowledge of community resources available to homeless populations is preferred. Must be able to adhere to confidentiality requirements and management of sensitive personal health information (PHI). Good organizational skills and time management skills. Ability to work as part of a team within a multi-disciplinary framework. Demonstrates computer literacy including use of multiple platforms including Microsoft and Excel. Strong ability to multitask.

    Physical Requirements:

    Hearing and speaking ability that allows for effective oral communication of information. Physical, emotional, and spiritual stamina to handle job-related issues and or stress. Able to lift 20 lbs.

    Other:

    Must demonstrate legal authorization to work in the United States. Must pass applicable pre-employment background screening procedures. Ability to work evenings.
