Resort- Sales Associate
General Position Summary:
To ensure the efficient and effective operation of the Sales Department and to perform administrative duties for the Director of Sales and the Sales Manager(s). To communicate directives from the department to the appropriate areas of the Hotel. To assist guests of the Hotel with any on-property matter.
Essential Functions/Major Responsibilities:
* Type all documents requested by the Director of Sales and the Sales Managers including contracts, letters, memos, forms, manuals and monthly reports (i.e., weekly and daily events, daily guarantee counts and change orders)
* Execute complete and accurate telephone service including routing of certain calls to other associates and in-house guests, as necessary
* Receive visitors and courteously handle inquiries and complaints or direct them to the proper manager for assistance
* Maintain accurate organized Sales files and archived reports
* Attend weekly Sales meetings and record accurate meeting minutes to be typed and properly distributed
* Compiles and maintains marketing databases including but not limited to data pertaining to: Spa, Sales, Guest comment cards and reservations
* Assemble client follow-up call report for each sales manager and mail out client post event evaluation; compile responses
* Block guest rooms for large groups (i.e., weddings, conventions, etc) via the reservation agents
* Handle confidential information appropriately
* Makes occasional sales calls in an effort to learn the full sales function
Secondary Functions:
* Promotes positive customer relations, handle complaints and suggestions
* Administrative functions: special events planning, receipts and rental equipment
* May assist in the interview/hiring process and training of catering staff
* Other duties as assigned
Specific Job Skills:
* Excellent communication skills, both oral and written
* Knowledge of computer and P.O.S. systems and possess the ability to utilize MS Office software
* Excellent math skills for calculations
* Must be able to work well with subordinates and management
Qualifications
Education and/or Experience:
High School diploma or GED required. Some office or business training preferred. Minimum of five (5) years office management experience.
Job Conditions:
Working conditions include working in an office setting with a computer, telephone, fax and cell phone, which requires manual and finger dexterity. Conditions may include but are not limited to: possible long periods of standing, loud noise, frequent interruptions, crowded conditions, stress, smoky environment, late nights, early mornings, weekends and holidays.
Physical Requirements:
Ability to stand and/or sit for extended periods of time. Ability to lift up to 50 lbs.
