- Coordinate meeting logistics, including catering, room setup, and AV needs.
- Optimize meeting room usage, ensuring spaces are properly allocated and utilized.
- Communicate effectively with internal teams to resolve scheduling conflicts.
- Review and manage daily meeting agendas, confirming and inputting details into the reservation system.
Hoteling Services:
- Oversee hoteling space assignments, ensuring optimal use of available desks and offices.
- Address no-shows and cancellations, and resolve any booking issues.
- Maintain fluid communication between departments to support a productive work environment.
Meeting Room Management:
- Provide hands-on support for meetings, ensuring rooms are prepared with necessary supplies, technology, and refreshments.
- Assist VIP and client meetings with materials, catering, and setup.
- Serve as a point of contact for any meeting-related needs, providing real-time support.
Catering and Events:
- Manage all aspects of catering for office events and meetings, ensuring accurate orders and timely delivery.
- Coordinate event logistics, including budget management, guest headcounts, and dietary restrictions.
Visitor Management:
- Greet guests with professionalism and warmth, guiding them to their destination and providing any necessary assistance.
- Manage visitor entries and access cards, ensuring accurate records and a smooth check-in process.
- Offer concierge-level service, providing directions, car service arrangements, and other guest needs.
Concierge Functions:
- Assist attorneys, staff, and clients with arranging transportation, local recommendations, and booking reservations for nearby restaurants, lodging, or entertainment.
- Help organize gifts and special deliveries for clients and staff.
Reporting:
- Provide regular reporting on meeting room and hoteling space usage, tracking key metrics such as service requests, occupancy rates, and client satisfaction.
- Ensure all hospitality services are documented and reported to management.
Job Requirements:
- Proven experience in hospitality, reception, or a similar client-facing role.
- Strong leadership and communication skills, with the ability to manage multiple priorities in a fast-paced environment.
- Exceptional problem-solving abilities and attention to detail.
- Proficiency in Microsoft Office and event management software.
- A positive, can-do attitude and a passion for delivering excellent customer service.
