Fire Life Safety Inspections; fire sprinkler, fire alarm, fire extinguisher. Meet vendor onsite to provide and arrange advance access, update fire life safety worksheetSupport property managers with scheduling of vendors and meeting vendors onsite, provide and arrange advance access, update inspection reports to appropriate spreadsheets if necessary (i.e., backflow, elevator, locksmith, utilities, etc.)Provide access to units for prospects, SMUD rooms for tenants, and assist property managers with projects, property visits (drop/check keys), etc. as neededPerform Tenant move-ins and move-outs, and completion of move-out documentationSubmit 311 reportsService request submittals and/or follow-up on existing service requestsFollow up on certificates of insurance to ensure ongoing compliance and maintain online files; upload to AppFolio and tenant folderManage, organize, and maintain documents in paper and electronic filing systemsResearch and compile information for the SVP of Leasing and Asset ServicesProvide phone and email support for tenant/property issues and questionsProvide support for maintenance of tenant key box and key code informationSupport tenant and vendor contact database, update new and additional contact infoDraft proposals, letters, vendor contracts, lease documents and other property management correspondenceCreate and maintain tenant lease files (hard & electronic) in accordance with document archiving standardsField incoming inquiries from prospective tenants by phone, email, Appfolio Guestcards, and LoopNet; schedule tours and pass on to property managers for follow-upManage tenant and vendor insurance certificate compliance, actively obtain current certificates, follow up to ensure ongoing compliance and maintain filesConduct inspections of properties by driving around and walking in and/or around each property; ensure presentability, safety of property, and Tenant compliance; document findings to present to property managerSupervisory Responsibilities: This position has no direct supervisory responsibilities.Competency: To perform the job successfully, an individual should demonstrate the following competencies:Customer Service: Ability to respond to requests for service and assistance.
