Responsibilities:
  • Responsible for maintaining all employee DQ files, ensuring that records are kept in accordance with federal and state regulations.
  • File all incoming paperwork and complete all data entry related to company personnel including new hire paperwork, employment changes, training, accident/incident related disciplinary actions, and performance documents.
  • Compile all relevant employee data, updates databases, and creates a DQ file for all new hires.
  • Regularly reviews files and removes files of terminated employees and places them in the appropriate storage.
  • Follow-up with the appropriate individuals on missing information, and reports any inconsistencies to Safety and Training Manager, Safety Director, or HR.
  • Assist in audits of DQ files by collecting documentation as needed. Follows-up to obtain missing paperwork if applicable.
  • Manage MIS files.
  • Maintain a continuous current database of State and City of Boston School Bus Driver Training and Annual Re-certifications, ensuring that drivers and qualified non-driver employees are scheduled for and notified of their training requirements in accordance with the drivers' Collective Bargaining Agreement and State/City mandates.
  • Manage collision activities, guide, and control direction of claims. Participate in quarterly claim reviews.
  • Maintain contact with injured party and the insurance carrier for the duration of the claims.
  • Performs other duties as assigned.
Education, Licensing, and Certifications Required:
  • High school diploma or equivalent, such as G.E.D.
Experience Required:
  • Two (2) to three (3) years of experience in general office or file management.
Skills and Knowledge Required:
  • Must be able to work a flexible work schedule.
  • Must be a team player and able to work well with others.
  • Must be able to work with sensitive documentation and materials displaying confidentiality, tact, and decorum.
  • Working knowledge of Microsoft Word, Excel and PowerPoint. Ability to effectively utilize web-based computer programs.
  • Must be detailed/math oriented and possess attention to detail.
  • Self-motivated and able to work independently.
  • Must be able to work under pressure.
  • Moderate lifting required.

Physical Requirements:
  • Travel required outside of immediate area
