Job Description:

Our client, a well-known manufacturing company located in Melville, NY is seeking Bilingual Spanish candidates to fill a contract Sales Assistant role. In this role you will be providing top-tier customer service to their clients located in Latin America, processing and tracking orders, researching and resolving inquiries about shipments, and running reports from the order system and Excel. This position offers a hybrid schedule and pays up to $ 31.00 per hour depending on experience. The ideal candidate for this role will have worked in a similar position, has used Excel to manipulate and run reports, and has professional level communications via email, phone and in person using both the Spanish and English languages.

Responsibilities:

  • Support the Latin American team with sales and client support.
  • Collaborate with other departments to meet clients needs.
  • Communicated in Spanish and English via email, phone and in person.
  • Maintained an accurate database of customer quotes, tracking shipments and complaints.
  • Regularly updated pricing information.
  • Process sales orders accurately, in a timely manner seeing them through completion.
  • Research and assist with order-related issues or discrepancies.
  • Work with manufacturers and suppliers to forecast demand.
  • Organize orders by urgency and expedited processing and tracked process.
  • Prepared and sent out invoices to customers promptly.
  • Coordinated logistics for direct shipments from suppliers to customers.
  • Acted as a point of contact for customer inquiries, complaints, and requests.
  • Coordinated transportation schedules for outgoing shipments.
  • Generated regular inventory reports to monitor stock levels.
  • Export and manipulate data in Excel (Pivot Tables, formulas and V lookups).
  • Managed back-order items, communicating revised delivery dates to customers.
  • Address customer inquiries, complaints and requests responding via phone, email or in person
  • Managed invoices.

Required Qualifications:

  • Minimum 2 years of experience in a similar position
  • Must have experience handling a high level of data entry for order processing.
  • Microsoft Office Suite: Word, Excel, PowerPoint, Outlook
  • Virtual Meeting and Communication Platforms: Microsoft Teams, Zoom
  • Bilingual Proficiency / Spanish Speak, understand with ability to read and write.
