Job Description:
The Sales Coordinator is responsible for the administration and delivery of groups and functions, partner programs, and company's Customer Relationship Management (CRM) initiatives. This position works continuously to ensure a smooth transition from sales to delivery and helps identify target market opportunities that drive revenue for ticket sales, camping revenue, F&B commissions, and venue rental fees. As a guest-focused organization, it is the responsibility of all resort employees to create a WOW experience for our guests.General AccountabilitiesGroups & FunctionsResponsible for the internal coordination and communication of group & function logistics, which includes third party outings, meetings, reunions, weddings, and parties; facilitate pre-planning meetings and post-function debriefs as needed; create, gather or disseminate Function Sheets with group function details to operations and support departments such as Buildings, Grounds, Admissions, Adventure Park, Snowsports, Campground, Lifts, and Food & Beverage in advance to ensure interdepartmental communication is smooth and logistical requirements are in place; ensure Outlook Events Calendar remains current to allow for coordinated booking of facilities for internal use.Coordinate pre-arrival requirements including: the distribution and collection of liability waivers, group rosters; data entry of group participant details into the transaction processing system; setting activity/lesson reservations, rental agreements, and certificates of insurance in compliance with established risk management protocol.Process invoices and collection of payments to maintain accurate revenue accounting for groups and functions; compile summary reports to include anticipated and actual sales, attendance, and assessment of each group & function.Partner ProgramResponsible for the administration of the company Partner Program, which includes lodging properties, regional ski shops, and other local businesses. Tasks include invoicing partners, processing payments, printing & mailing vouchers, documenting partner activity, and coordinating with Marketing & Sales to cross-promote our valued partners.Campaign AdministrationAttend to the daily responsibilities supporting the company's CRM platform. CRM duties include, but are not limited to segmenting customer lists, creating campaign schedules, measuring and reporting campaign performance, and working with other departments to identify and implement new campaign opportunities.Direct PromotionsProvide sales support for direct promotions, trade shows, and Gunstock events as needed; assist with the scheduling of staff and booking of travel arrangements; assist with the design and development of displays, promotions, and materials as needed.EDUCATION and/or EXPERIENCE4-year college degree or 1-3 years of related experience; or equivalent combination of education and experience. Intermediate to advanced computer skills and strong working knowledge of MS Office is required. Working knowledge of Intouch POS system and applications such as Hubspot and Adobe Acrobat, experience with CRM campaign management platforms is preferred. Service industry experience preferred.SchedulingThe position is full-time, year-round. During peak operational periods Gunstock is open to the public 7 days/week with weekends being our busiest times.
