Position Summary: This position is essential for ensuring the smooth and efficient processing of sales contracts for newly constructed homes. The ideal candidate will have a strong understanding of contract management processes, excellent communication skills, and a commitment to delivering exceptional customer service.
Duties / Responsibilities: - Manage the contract process for new home sales including change orders, from the initial offer to the handoff with the closing coordinator. This includes reviewing contracts for accuracy, completeness, and compliance with company policies and legal requirements.
- Assist sales agents in contract terms verbiage, and other related matters. Collaborate with the executive team as needed to resolve any contractual issues.
- Prepare and distribute all necessary documents and paperwork associated with home sales contracts, including purchase agreements, addendums, and disclosures.
- Ensure the collection of funds required for the contract have been received such as earnest money deposits.
- Work closely with internal departments such as sales, construction, finance, and purchasing, to ensure seamless coordination and timely completion of contract-related tasks.
- Stay informed about relevant laws, regulations, and industry standards governing real estate transactions.
- Ensure compliance with all applicable requirements and maintain accurate records of contract-related activities.
- Conduct regular reviews of contracts and associated documentation to identify errors, discrepancies, or areas for improvement. Implement corrective measures and best practices to enhance efficiency and accuracy.
- Complete new sales reports to track total sales daily, report trends and common errors/ issues, and provide insights for process optimization and decision-making purposes.
- Regular audits and updates of new home listings on Multiple Listing Service (MLS) platforms and other relevant online databases using the actual report.
- Additional Job Duties as assigned.
Qualifications: - Bachelor's degree in Business Administration, Real Estate, or a related field is preferred but not required.
- 1-2 years of experience in contract management, preferably within the real estate or property development industry.
- Strong understanding of contract law principles and real estate regulations.
- Exceptional attention to detail and accuracy in reviewing and preparing contract documentation.
- Excellent verbal and written communication skills, with the ability to communicate effectively with customers, Team Members, and external stakeholders.
- Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines effectively.
- Proven ability to analyze complex issues, identify solutions, and resolve conflicts in a timely and professional manner.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and contract management software (Kova). Familiarity with CRM systems (Salesforce) is a plus.
Supervisory Responsibility: This position has no direct supervisory responsibilities.
Work Environment: This job primarily operates in a professional office environment and routinely uses standard office equipment such as computers, photocopiers, fax machines, and phones.

Position Type/Expected Hours of Work: This is a full-time, exempt position. Under the Regulations, Part 541, an exempt employee is one who is not entitled to the minimum wage or overtime pay protections of the Fair Labor Standards Act (FLSA). Typical days and hours of work are Monday through Friday, between 8:00 a.m. and 5:00 p.m. This position may work outside of normal business hours to include evenings and weekends as needed to complete job responsibilities.
