What do we need: People Serving People is seeking a Scheduler and Project Specialist to join our team. This is a great opportunity for someone looking to move up or advance in their career in 2 to 3 years. This is an executive support position equivalent to an Executive Administrative Assistant or Administrative Assistant III role. The primary function of this position is to manage the CEO's schedule and to develop, advance and execute special administrative projects as assigned by the CEO. This role also acts as the administrative manager of the Board of Directors, and the person in this role will support the CEO and members of the Senior Leadership Team (SLT) in multiple cross-departmental functions. Responsibilities:50% CEO Scheduling and Support:
- Manage the CEO's schedule, calendar, meeting planning, and other logistics to maximize the CEO's strategic priorities.
- Coordinate internal management meeting schedules and planning, including SLT meetings, All Staff meetings, and cross-leadership team meetings.
- Assist members of the SLT in executing general program management activities including coordinating SLT activities, meeting logistics, calendaring.
- Support the CEO's production needs by preparing and/or editing correspondence, memos, letters, contracts, meeting minutes and PowerPoint presentations.
25% Special Project Management:
- Project management for interdepartmental and cross-leadership initiatives as selected by the CEO and SLT.
25% Board Liaison:
- Provide service, scheduling, logistical and technical support for the Board of Directors and committees.
- Ensure timely and accurate production and distribution of meeting agendas, minutes, and materials.
- Prepare and/or maintain all board and committee files and materials, including bylaws, rosters, contact information, orientations, policies and procedures, agendas, minutes, and meeting materials.
Pay and Benefits:
- $52,000 - $58,000 annually.
- Full-Time, Monday through Friday, from 9:00 a.m. to 5:00 p.m.

- Five years combined executive-level support experience, or four-year degree and two years executive-level support experience.
- Project management experience preferred.
- Advanced verbal and written communication and interpersonal skills.
- Strong editing and writing skills.
- Ability to exercise discretion and maintain confidentiality when needed.
- Excellent organizational skills and attention to detail.
- Ability to prioritize a large and varied workload, managing multiple tasks and details simultaneously.
- Ability to show initiative, willingness to learn and take on responsibilities as a contributing team member.
- Experience working independently, proactively identifying or initiating ways to enhance a process, procedure or outcome that benefits the organization.
- Ability to exercise independent judgment and problem-solving skills.
