Job Summary:As a Scheduler Facility Coordinator at Right at Home, you will play a vital role in ensuring our clients receive seamless care by maintaining ongoing communication with healthcare facilities to cover open shifts promptly. You'll be the bridge that connects our dedicated caregivers to the facilities needing support, ensuring every shift is covered with the right talent. In this role, youll also step in to support the primary scheduling team during absences, peak periods, or whenever additional coverage is needed, guaranteeing continuity of care for our clients.

Key Responsibilities:

  • Facility Communication: Regularly engage with partnered facilities to stay updated on open hours and staffing needs, building strong relationships with facility contacts.
  • Open Shift Coordination: Proactively monitor and fill open shifts at healthcare facilities, ensuring each is staffed with the most qualified team member available.
  • Contact Information Management: Keep facility contact details accurate and up-to-date for smooth scheduling and emergency communication.
  • Proactive Scheduling: Collaborate with facilities to anticipate their staffing requirements and plan ahead to cover all shifts.
  • Shift Assignments: Match our talented caregivers to open shifts based on their skills, availability, and the facility's needs.
  • Reporting: Maintain precise records of facility contacts, open hours, filled shifts, and scheduling issues using our top-of-the-line scheduling software.
  • Issue Resolution: Swiftly address any scheduling conflicts, working with both facilities and caregivers to find solutions.
  • Collaboration: Work seamlessly with the primary scheduler and other departments like HR, care coordination, and operations to ensure effective communication and team efficiency.
  • Scheduling Support: Take the lead in managing schedules during busy periods or when the primary scheduler is away, ensuring all shifts are covered.
  • Schedule Adjustments: Handle any last-minute changes and cover shifts during peak times, weekends, or holidays to guarantee that no care need goes unmet.

Qualifications:

  • Experience: 1-2 years in scheduling or coordination, ideally in a healthcare environment or similar field.
  • Skills:
    • Exceptional communication and relationship-building abilities.
    • Strong organizational skills with the capability to juggle multiple tasks simultaneously.
    • Detail-oriented approach with a focus on accuracy in scheduling and record-keeping.
    • Proven problem-solving skills and ability to handle conflicts under pressure.
    • Proficiency in scheduling software and Microsoft Office tools (Excel, Word).
    • Bilingual in English & Spanish is a PLUS.
  • Knowledge: Understanding of healthcare facility operations and staffing procedures is a plus.
