Job Title: Scheduling Coordinator CWRLocation: Paramus, NJ 07652Duration: 3 MonthsHours Per Week: 40.00Hours Per Day: 8.00Days Per Week: 5.00Job Summary:The Scheduling Coordinator is responsible for coordinating all aspects of tests, procedures, and surgeries under the direction of the Practice Supervisor or Manager and physician(s). This role ensures that scheduling is conducted in an efficient, polite, and helpful manner while adhering to facility guidelines.Key Responsibilities:
  • Coordinate scheduling of procedures in a prompt and efficient manner.
  • Verify patient demographics and log insurance information; contact insurance companies for verification of coverage and benefits and obtain precertification.
  • Adjust procedure appointments with the physician's calendar as needed.
  • Communicate appointments and surgical preparation information to patients.
  • Arrange co-surgeons or assistants as needed and cross-schedule with other departments (e.g., lab or nuclear medicine).
  • Ensure consistency in pre-op procedures, including completion of surgical documentation and consent forms.
  • Schedule pre-surgery appointments with physicians and obtain necessary medical clearances.
  • Maintain block time guidelines at each hospital and coordinate required postoperative care.
  • Collaborate with the coding department to obtain appropriate surgical codes and reconcile all surgical charges.
  • Track completed and pending procedures, as well as surgical testing and pathology results.
  • Provide excellent customer service by responding promptly to patient needs and maintaining empathy.
  • Adapt work schedule to meet the practice's needs and work additional hours as requested.
  • Manage time efficiently to prevent unapproved overtime and perform assignments with accuracy.
  • Participate in surgical service meetings held at the hospitals and adhere to organizational competencies and standards of behavior.
Required Skills and Experience:
  • Two years of related experience in a medical office or similar setting.
  • Effective interpersonal and communication skills.
  • Ability to learn quickly and adapt in a changing environment.
Preferred Skills and Experience:
  • 2 years of progressive experience in a medical office, with surgical coordinator experience preferred.
  • Proficient in medical terminology and understanding of HIPAA guidelines.
  • Knowledge of surgical coding (CPT and ICD-10) is a plus.
Education:
  • Required: High School Diploma/GED or HiSET (High School Equivalency Test).
Languages:
  • English (Speak, Read, Write)
Schedule Notes:
  • Shift: 8:30 AM - 5:00 PM, Monday - Friday.
  • No weekends, holidays, on-call shifts, or floating required.
  • Experience Requirement: 2 years of scheduling or surgical coordinator experience is required.
