The Community Wide Scheduling Manager oversees the scheduling operations for various hospital departments, including Radiology, Imaging Services, Cardiology, Nuclear Medicine, Respiratory Therapy, and Same Day Surgery Procedures. The Manager ensures that all appointments are efficiently scheduled, patients are well-informed, and the hospital can bill accurately for its services. The role requires collaboration with the Central Scheduling Supervisor and the Supervisor of Admitting/Registration, especially concerning community agencies and resources for appropriate patient referrals. Manual dexterity and attention to detail are crucial for managing a high-volume scheduling environment, typically handling approximately 40 patients per day. The Manager must be vigilant in identifying special cases and escalating them to the appropriate supervisor.

Key Responsibilities:

  • Team Leadership: Lead and manage the scheduling team for 40, providing routine functional guidance and performance feedback.
  • Workflow Management: Ensure efficient scheduling of approximately 40 patients per day across various hospital departments, adhering to provided schedules and protocols.
  • Patient Communication: Ensure patients receive all necessary information to arrive on time and prepared for their procedures, addressing any patient concerns or special needs.
  • Interdepartmental Coordination: Maintain open communication with hospital departments regarding schedule changes and updates, ensuring accurate daily schedules.
  • Protocol Adherence: Oversee strict adherence to scheduling protocols and the collection of financial information, handling complex cases and referring them to the Supervisor as needed.
  • Process Improvement: Continuously evaluate and improve scheduling processes to enhance efficiency, patient satisfaction, and billing accuracy.

Qualifications:

  • High school diploma or equivalent is required; additional education in healthcare administration or a related field is preferred.
  • Experience in a supervisory or managerial role in a healthcare setting is required.
  • Previous experience in appointment scheduling within a healthcare environment (e.g., physician office, clinic, or hospital) is required.
  • Strong background in customer service, hospital registration, or admitting processes is required.
  • Familiarity with insurance authorization departments, contracts, medical terminology, diagnostic procedures, and healthcare billing is required.
  • Ability to use call center technology to monitor and adjust workloads is required
  • Exceptional verbal communication, problem-solving, prioritization, and organizational skills are essential.
  • Ability to meet tight deadlines, follow detailed instructions, and maintain accuracy under pressure.
  • Proficiency with mainframe computers, calculators, copiers, fax machines, and multi-line phone systems is required.
  • Typing speed of 45 WPM or higher is required.
  • Ability to manage multiple projects simultaneously with speed and accuracy
