Position: Administrative Secretary II (pay grade 5)
School: Silas Deane Middle School
Reports To: Building Principal & Assistant Principal
Start Date: Immediate
Work Year: 10 months
Hours: 7 hours/day (excluding unpaid lunch), commensurate with school day
Compensation: $24.79 - $30.31 per hour (based on experience & qualifications)

Summary: Silas Deane Middle School is seeking a motivated and dedicated professional to serve as an Administrative Secretary II in the school's Main Office. This position is vital to our school as the chosen candidate will have regular and constant interaction with our staff, students and parents/families.
Duties and Responsibilities:
Must be able to show demonstrated experience and/or applicable knowledge in the majority of these areas:
* Partner closely with school Principal, Assistant Principal, Lead Administrative Secretary and staff in the safe and efficient operation of the school;
* Create & Maintain Student Attendance Records/Historical Data - verify and confirm daily student absences with parents and staff; enter codes and notes into PowerSchool for all absences, dismissals and late arrival of students; manage data for weekly meetings and State mandated reporting;
* Create & Maintain Discipline Records - compose parent letters; enter ED166 data into PowerSchool; compile and maintain detailed database of all discipline offenses and consequences; monitor completion of all discipline consequences;
* Answer incoming calls to the office from a variety of stakeholders;
* Assist parents, students and staff with routine questions;
* Collect and distribute work for students absent from classes;
* Maintain and organize all staff schedules;
* Manage schedules, documentation, correspondence, meetings and file management associated with PPT/504 processes through CT Special Education Data System (CT-SEDS);
* Organize and maintain school records, including filing;
* Prepare meeting agendas and announcements;
* Process technology requests through School Dude program;
* Page students via intercom system;
* Process outgoing mail through postage meter and distribute incoming mail;
* Assist with emergency drills;
* Assist Lead Secretary as needed;
* Prepare reports, newsletters, bulletins and letters for distribution;
* Assist in filling staffing needs as needs arise;
* Support the coordination, planning and execution of various school events/activities; maintain school calendar of events and facility usage;
* Assist in facilitating communications between the school, families and the community;
* Upon inquiry, provide information concerning school policies and procedures;
* Help manage special projects as necessary;
* Monitor visitor access to building and oversee visitor sign-in;
* Assist with transportation issues;
* Perform general administrative/clerical duties as required as well as all other duties assigned by principal.
Qualifications:
* Minimum of a high school degree and three (or more) years of secretarial, clerical or coordinator experience; preference may be given to those who have an Associate's Degree (or greater) in administration, business management or a related field of study;
* Knowledge of PowerSchool would be beneficial;
* Knowledge and experience using CT-SEDS would be beneficial;
* Proficiency in the use of Microsoft Office and Google software applications;
* Excellent oral communication and interpersonal skills; ability to communicate clearly and concisely both in oral and written form;
* Ability to multitask and adapt to rapidly changing priorities;
* Ability to work cooperatively with other office personnel;
* Ability to handle and treat information confidentially;
* Ability to relate effectively with staff, parents, students and the public;
* Ability to work in a high paced office environment;
* Ability to plan and organize work schedule and set priorities, both independently and under general supervision.
