Job Description:
Position Title: Secretary, School Counseling Department
Reports to Guidance Director, Guidance Counselors, Principal, and in summer months, Superintendent or designee.
SUMMARY: Responsible for phone, mail and appointments in guidance office; maintains student file set in SIS. Assists Central office in HR and student registration systems during summer enrollment periods
ESSENTIAL DUTIES AND RESPONSIBILITIES: (Other duties may be assigned.)
Answers student inquiries or scheduling appointment times for students to meet with their counselor.

* Keeps timely information available in the counseling office.
* Supervises students visiting the guidance office.
* Prepares & distributes data reports and drafts memos as requested.
* Works with counselors to communicate scholarship information through scholarship postings, senior newsletter, etc and work with counselors to track scholarship.
* Processes applications as they are turned into the counseling office
* Processes students enrolling at the high school or withdrawing from the high school.
* Prepares for various activities throughout the school year - freshman orientation, college fair etc.
* Maintains student demographics in system and in files.
* Requests and/or sends student information to and/or from schools, military, etc.
* Maintains & reports honor rolls and class rank information.
* Maintains & insures the integrity of students' transcript information in system & in files including credits earned, transferred, lost, recovered, etc.
* Maintains and sends senior transcripts to colleges.
* Assists administrators to process seniors applying for early graduation.
* Assists counselors during the scheduling process.
* Assists administrators during Senior Awards and Graduation.
* Inputs and maintains intervention period assignments in student schedules.
* Notifies the Social Security Administration when students who receive benefits withdraw, graduate, etc.
* Follows guidelines and procedures for employment of minors in Connecticut (CT Working Papers).
* Provides back up coverage when needed for staffing the high school main office.
* Provides assistance to the central office, including administrative tasks, during summer months.
SUPERVISORY RESPONSIBILITIES: None
EDUCATION and/or EXPERIENCE: High School diploma or general education degree (GED); able to use google suite and other assigned software programs.
EVALUATION: Performance of this position will be evaluated in accordance with provisions of the Board's Policy on Evaluation of Support Staff Personnel.
TERMS OF EMPLOYMENT: 12-month employee.$24.26-$32.50 depending on the wage table in the current contract.
Work days: Monday - Friday, school year and summer months
Work Schedule (hours): Monday - Friday 7 AM to 3 PM during the school year, summer hours may vary.
Compensation & Benefits: As outlined by current Classified Personal Contract. (Category II, Administrative Secretaries)
