Location : Vincennes, INJob Type: Full-Time Support StaffJob Number: 202200562College/Division: Office of VP for Financial ServicesDepartment: Security (3105)Opening Date: 10/17/2024Closing Date: 1/17/2025 11:59 PM EasternDescription This is a full-time support staff position, with full benefits, that provides comprehensive support to the Chief of Police and the University Police Department. The work week is Monday through Friday, 8:00am to 4:30pm, with occasional extra hours throughout the school year as deemed necessary. This position will work directly with students, staff, faculty, and the community in person, by telephone, and by email. Duties and Responsibilities
  • Meet and interact effectively with students, faculty, staff, and visitors and provide outstanding customer service
  • Data entry, prepare correspondence, answer phones, and perform general office duties as assigned.
  • Maintain confidentiality and use discretion when handing sensitive information
  • Handle incoming and outgoing mail and other materials.
  • Set up and maintain filing systems, both physical and electronic.
  • Handle various Radio and Switchboard operations and duties as assigned
  • Record complaints from students, staff, and the general community
  • Input and review Payroll for the department
  • Manage and respond to job related background checks of current and former students
  • Oversee parking system, including issue permits, process tickets, bill student accounts, check online approvals and orders, etc.
  • Maintain and order various office supplies and materials
  • Process various forms, requests, work orders, and reservations.
  • Help with recruiting activities, new student orientation, and special events.
  • Help post updates on the University's Social Media Accounts.
  • Assist in monitoring and maintaining UPDs asset inventory.
  • Attend meetings and serve on committees as assigned by the Chief
  • Collaborate on and periodically review the University Police Website
  • Perform other secretarial duties delegated by the Chief of Police
Required and Preferred Qualifications
  • The ideal candidate should be of good character, at least 21 years of age or older with a minimum high school education.
  • An AS Degree or higher and/or equivalent experience in the law enforcement community is preferred but not required.
  • Radio dispatch experience, and communications experience is also desired, but not required.
Additional Knowledge, Skills, and Abilities
  • Knowledge and proficient in office management systems, general office equipment, and computer applications including Microsoft Word, Excel, and data base management; experience in Report Exec, Banner, iParq, various other University systems is preferred.
  • Excellent organizational skills and attention to detail, with the ability to manage multiple tasks, prioritize effectively, and maintain a highly efficient office environment
  • Excellent written and verbal communication skills, with the ability to draft, compose, and proofread various correspondences promptly and accurately.
  • Have general knowledge of the Vincennes and Knox County area to better assist new students, parents, employees, and/or visitors of the Campus.
  • Capability of maintaining confidentiality and handing sensitive information with discretion.
  • Be self-motivated and able to work independently with limited supervision while still being able to collaborate effectively in a team environment.
  • Proven ability to be dependable, punctual, and flexible
  • Provide excellent customer service, a professional appearance, and present a positive attitude.
  • Proven ability to maintain cooperative and professional working relations with all members of the Department and the University community
