Secretary/Athletic Director/Head Coach AnticipatedJOB STATUS: OPEN POSTING DATE: 12/16/2024 CLOSING DATE: 01/10/2025 04:00 PM POSTING NUMBER: 047800 LOCATION: Oak Ridge High School - 005 POSITION TITLE: Secretary/Athletic Director/Head Coach Anticipated JOB DESCRIPTION: Ensure efficient operation of school athletic office and provide clerical services for school's athletic staff. DUTIES and RESPONSIBILITIES:
  • Prepare written correspondence, forms, schedules, or reports using computer.
  • Prepare meeting agendas and communication as requested using computer.
  • Perform routine bookkeeping tasks and maintain campus athletic department records for all high school and junior high school athletic programs.
  • Prepare and process campus athletic department purchase orders and payment authorizations for all high school and junior high school athletic programs.
  • Compile information and submit to central athletic office.
  • Maintain school calendar of athletic events.
  • Schedule meetings and appointments and maintain calendar for head coach.
  • Assist students, teachers, community, and parents as needed.
  • Responsible for all data entry and technological support for the purchase of electronic ticketing for both season tickets and all other sport ticketing as pertains to their campus.
  • Recruit, train and schedule ticket gate workers for all campus based athletic contests.
  • Prepare and make cash deposits from game recaps of ticket/gate monies.
  • Prepare travel requests/travel recaps for all campus athletic programs including chartering buses and vehicle rentals.
  • Receive incoming calls, take reliable messages, and route to appropriate staff.
  • Maintain physical and computerized files, including inventory of office supplies, mailing lists, student records, visitor logs, and office communications.
  • Update handbooks, policy manuals, and other documents as assigned.
  • Receive, store, and issue supplies and equipment.
  • Sort, distribute, or deliver mail and other documents.
  • Maintain confidentiality.
  • Regular attendance.
  • Other duties as assigned.
  • EXPERIENCE:
    • One to three years secretarial experience
    QUALIFICATIONS: Education/Certification:
    • High school diploma or GED
    Special Knowledge/Skills:
    • Proficient typing, word processing, and file maintenance skills
    • Effective organizational, communication, and interpersonal skills
    • Ability to use personal computer and software to develop spreadsheets, databases and word processing documents
    • Knowledge of basic accounting principles
    • Ability to communicate effectively (verbal and written); interpret policy, procedures, and data
