Job Title: Secretary/Office Manager

Job Summary: We are seeking a detailed, self-motivated Secretary to ensure the smooth operation of our office environment. This role involves managing day-to-day office activities, providing exceptional support to clients, and maintaining a clean and organized workspace. We are seeking someone who would be open to growing into an Office Manager position.
Key Responsibilities:
Office Operations:- Oversee daily office activities to ensure efficiency and productivity
- Manage Office Supplies Inventory
- Implement and maintain Office Policies and Procedures
Communication:- Answer phone calls promptly and professionally, directing inquiries as necessary.
- Manage email correspondence and respond to client requests in a timely manner.
Client Scheduling:- Schedule appointments and meetings for clients and staff, ensuring optimal time management.
- Maintain an organized calendar and coordinate logistics for client visits
Office Maintenance:- Ensure the office and bathrooms are clean and well-maintained
- Conduct regular inspections of the office to identify areas for improvement or maintenance
Administrative Support:- Assist with general administrative tasks, such as filing, data entry, and document management.
Accounts Receivable:- Manage customer billing and bill payments
Mail Duties:- Process incoming and outgoing mail.
Qualifications:
- Bilingual would be beneficial, but is not required
- Self-motivated
- Strong organizational and multitasking skills
- Excellent communication skills, both verbal and written
- Proficient with Microsoft Office Suite
- Ability to maintain a high level of confidentiality
- Attention to detail and a commitment to maintaining a clean workspace
- Excellent customer service skills in person, by phone, and by email
- High School Diploma or GED
- Must pass background checks for Criminal History, Employment History and Social Media Check
