Job Title: Secretary/Office Manager

Location: St. Cloud, MN

Job Type: Full-Time

Job Summary: We are seeking a detailed, self-motivated Secretary to ensure the smooth operation of our office environment. This role involves managing day-to-day office activities, providing exceptional support to clients, and maintaining a clean and organized workspace. We are seeking someone who would be open to growing into an Office Manager position.

Key Responsibilities:

  • Office Operations:
    • Oversee daily office activities to ensure efficiency and productivity
    • Manage Office Supplies Inventory
    • Implement and maintain Office Policies and Procedures
  • Communication:
    • Answer phone calls promptly and professionally, directing inquiries as necessary.
    • Manage email correspondence and respond to client requests in a timely manner.
  • Client Scheduling:
    • Schedule appointments and meetings for clients and staff, ensuring optimal time management.
    • Maintain an organized calendar and coordinate logistics for client visits
  • Office Maintenance:
    • Ensure the office and bathrooms are clean and well-maintained
    • Conduct regular inspections of the office to identify areas for improvement or maintenance

  • Administrative Support:
    • Assist with general administrative tasks, such as filing, data entry, and document management.
  • Accounts Receivable:
    • Manage customer billing and bill payments
  • Mail Duties:
    • Process incoming and outgoing mail.

    Qualifications:

    • Bilingual would be beneficial, but is not required
    • Self-motivated
    • Strong organizational and multitasking skills
    • Excellent communication skills, both verbal and written
    • Proficient with Microsoft Office Suite
    • Ability to maintain a high level of confidentiality
    • Attention to detail and a commitment to maintaining a clean workspace
    • Excellent customer service skills in person, by phone, and by email
    • High School Diploma or GED
    • Must pass background checks for Criminal History, Employment History and Social Media Check
