About the job Secretary Job Brief:We are looking for a secretary with fantastic clerical and organizational skills. The job's main responsibilities include maintaining professional correspondence, making presentations for guests, and preparing documents efficiently.Responsibilities:
- Collaborate with relevant parties regarding scheduled meetings and new appointments.
- Compiling lists of names and addresses that are useful to the organisation, including those of appropriate officials or officers of voluntary organisations.
- Compose letters and emails.
- Revise, compile, and proofread drafts of reports and documents.
- On a daily basis, keep records and file documents.
- Design, implement and maintain filing systems, both electronic and paper.
- Execute accurate analysis and research when needed.
- Professionally receive guests and clients who visit the office.
- Make presentations on behalf of management to guests.
- Review outgoing correspondence for grammar, correctness and completeness, and ensure that appropriate material is attached.
- Upholding the legal requirements of governing documents, charity law, company law etc (where relevant).
- Reporting the activities of the organisation and future programmes to members, the press and the public (unless there is an Information or Publicity Officer).
- Craft and organize information, and create reference tools for easy access.
- Assure effective and efficient administrative assistance and information.
- Maintain and operate office equipment.
- Update and manage calendars.
- Make travel arrangements.
Requirements:
- Degree in Business
- 3+ years in a secretarial role
- Methodical thinker and thorough understanding of secretarial principles
- Detail-oriented and phenomenal organizational skills
- Proficient in Microsoft Office
- Ability to type at least 40 words per minute
- Negotiation skills and attention to detail are important
- Skilled communicator both verbally and in writing
