SUMMARY
This union position provides administrative support to the Zoning Official, Code Enforcement Officer, Building Inspector and Public Works Department. Work is performed under the regular supervision of the Community Services Director.
RESPONSIBILITIES
* Provides secretarial and clerical support under minimal supervision
* Assists Director in managing budget
* Assists Zoning Official, Building Inspector and Code Enforcement with processing building permits and scheduling inspections
* Generate departmental purchase orders, receive and process invoices, utility bills and other vendor invoices
* Prepares correspondence, summaries and all related assistance for the Zoning Hearing Board
* Answering incoming calls, ascertaining the nature of business, providing information, taking messages, forwarding calls
* Resident and visitor customer service
* Provides back-up for handling waste collection inquiries and complaints
* Provides administrative support using various computer programs
* Creates, organizes and updates various office files and automated databases (One-calls and Request for Service Reports)
* Assists in the development of office procedures
* Operates standard office, data entry and word processing equipment
* Performs other assigned tasks as required
KNOWLEDGE, SKILLS AND ABILITIES
* Knowledge of standard office practices, procedures, equipment and office assistance techniques
* Thorough knowledge of business English, spelling and arithmetic
* Ability to type accurately and at a reasonable rate of speed
* Ability to make basic mathematical calculations
* Ability to establish and maintain effective working relationships with fellow employees, as well as business associates
* Ability to follow oral and written instructions
* Skill in the operation of standard office equipment
DESIRED MINIMUM QUALIFICATIONS
* Must have high school diploma, business school or equivalent
* Minimum of 5 years' secretarial experience
* Must have a thorough knowledge and proficiency in Microsoft Word/Excel
* Must be able to interface with all levels of the Municipality
* Must have strong organizational, communication and interpersonal skills
* Ability to multitask
PHYSICAL DEMANDS
This is sedentary work requiring the exertion of up to 10 pounds of force occasionally and negligible amount of force frequently or constantly to move objects; vocal communication is required for communicating, expressing ideas by means of the spoken word; hearing is required to perceive information and normal spoken word levels; visual acuity is required for preparing and analyzing written or computer data, processing of cash or other forms of payment, and operation of machines; the worker is not subject to adverse environmental conditions.
