Summary The position is located in Social Work Service (SWS) at the Tuscaloosa VA Medical Center, Tuscaloosa, Alabama. As the SWS Secretary, the incumbent is responsible for a broad range of administrative and clerical duties associated with all direct patient care clinics/departments in the SWS line. Responsibilities Receives, schedules, refers, and contacts members of the staff, agency, and persons outside the agency ranging from other government agencies to the general public. Provides general public contact support services such as answering the telephone, referring visitors, or providing information about the office, its functions, and standard operating procedures, as well as similar information. Processes incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication. Edit letters, composes letters and reports, reviews correspondence for accuracy and completeness, prepares public presentation outlines, and develops standard or form letters and replies to inquiries. Provides general clerical mail and correspondence services such as preparing a variety of recurring reports, reviewing outgoing correspondence for proper attachments, or consolidating/coordinating submittals of information. Schedules appointments, coordinates meetings, and/or schedules conferences. Serves as the senior timekeeper for the respective Service Line Management Team and as a backup timekeeper for other Service Lines. Responsible for creating timesheets for each employee assigned to Time and Leave (T&L) Units within the Service Line. Conducts reviews for compliance and accuracy and serves as a resource for other timekeepers within clinical service areas. Prepares and maintains appropriate forms for human resources actions to include preparing HR forms and SF 52's for separation, recruitments, change in pay status, change in name, etc. Subject matter expert in the workflow of HR Smart to ensures all approvals are signed and tracked accurately and timely. Maintains accurate personnel contacts to ensure accuracy of data. Tracks recruitments and announcements for the Service Line Performs other related duties as assigned. Qualifications To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/17/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 that has provided you with the particular knowledge, skills, and abilities to perform successfully the duties of a Secretary (Office Automation). Specialized experience would typically include, but are not limited to: Secretarial or administrative assistant support work performing routine clerical and organizational tasks; preparing correspondence and other documents; using automated software applications such as Microsoft Office Suite (Word, Excel, and PowerPoint); answering the telephone and taking messages; scheduling appointments and updating calendars; handling incoming and outgoing correspondence; editing documents; and maintaining files and databases. Typing: 40 WPM - This position requires the skills of a qualified typist. You will be rated on the following Competencies for this position: Attention to Detail Clerical Communication Interpersonal Skills Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending, and carrying of light items like papers or books. No special physical demands are required to perform the work.
