The Secretary is a qualified, competent and experienced full-year confidential appointee who will be assigned to the Main Office. The appointee will have direct contact with students, parents, staff and visitors to the school. The Secretary - Main Office takes direction from and reports directly to the Main Office Administrative Assistants.
Responsibilities and Duties:
1.Works collaboratively with the Main Office team to provide support for daily tasks and projects as deemed necessary by the Assistant Superintendent-Director/Principal, Assistant Principals, Academic Curriculum Coordinator, Vocational Directors and/or Administrative Assistants.
2.Supports the Receptionist with greeting and assisting students, parents, staff, and visitors to the Main Office area in a friendly, cooperative and professional manner with a strong emphasis on building security and student safety.
3.Maintains and protects all records to ensure their privacy and security in accordance with State law and school policy.
4.Routes incoming calls and faxes appropriately, confidentially and efficiently.
5.Maintains and update biographical student information in the student database software with emphasis on detail and sensitivity to State reporting guidelines.
6.Cross-trains in all Main Office functions including but not limited to student work cards, student attendance procedures, biographical reports, field trip requests, professional development and course requests, school attendance verification letters (for state assistance and social security), BVT website content management and other requests as required.
7.Operates district financial software, maintains office supply inventory and creates purchase requisitions as needed.
8.Assists with Student Activity accounts as deemed necessary.
9.Responds to emergency situations according to established protocols.
10.Manages the staff mail system, i.e. issue new mailboxes and keys, update mailbox listings, etc. Sort incoming mail and distribute in school mailboxes as required.
11.Facilitates all aspects of attendance including, but not limited to, accurate reporting of daily and classroom attendance, dismissals, tardies and excused absences, and notifying parents, counselors, school nurses and administrators when necessary with an emphasis on student safety and well-being.

7.Possess ability to communicate effectively both orally and in writing - this articulate individual demonstrates excellent phone skills, uses grammar and vocabulary correctly and appropriately and possesses above average proofreading skills.
8.Possess physical and emotional capacity to fulfill responsibilities and duties expected. This position involves sitting at a desk for several hours a day, sustained hand/wrist movement as in writing or using a computer keyboard/mouse. Other activities may include moderate to frequent physical exertion in body movements such as reaching, bending and twisting.
Compensation and Terms of Employment:
1.Weekly salary based on qualifications and experience.
2.Full year assignment - 52 weeks, 37.5 hours per week. Regular schedule Monday through Friday, 7.5 hours per day with a half-hour duty free lunch period. Targeted workday of 7:30 a.m. to 3:30 p.m. Extended hours may be necessary at times to meet deadlines.
3.The school district will provide necessary facilities, equipment, materials and supplies as needed to accomplish assignments.
