Summary This position is located within the Specialty and Acute Care Service Line, Medical Service at the VA Maine Healthcare System in Togus, ME. The Secretary (Office Automation) provides an array of administrative and project support to the Chief of Medicine, Assistant Chief of Medicine, Administrative Officer (AO), Emergency Department Director, and Supervisory Hospitalist. Responsibilities ***THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION*** The major duties include but are not limited to: Controls incoming and outgoing correspondence, reports, memoranda, and other forms of written communication; Tracks correspondence for timely reply/action; Prepares and edits letters and reports and reviews correspondence for accuracy and completeness; Supervises and orients summer volunteers and/or students; Serves as a patient advocate for the service; Provides administrative support for Medical Service staff meetings and assists in preparation of meeting PowerPoint presentations; Prepares meeting agendas, prepares and distributes meeting notices, provides attendance sheets, and arranges audiovisuals; Attends meetings, takes accurate minutes, and follows-up on action items with appropriate staff members; Arranges for continuing medical education (CME) credits as applicable; Serves as timekeeper for staff and maintains leave calendar; Organizes and manages schedules and calendars; Maintains employee service records and files and provider privileges files; Collects, retrieves, and displays data from computer systems; Takes telephone calls and receives visitors; Sorts and distributes mail; Arranges travel; and, Performs other related duties as assigned. Work Schedule: Monday through Friday, 8:00 am - 4:30 pm. Qualifications Typing Proficiency: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute. ~AND~ In addition to the Typing Proficiency, to qualify for this position at the GS-6 level, you must meet the following: Experience: You must have at least one (1) full year of specialized experience equivalent to at least the next lower grade level (GS-5) in the federal service that has given you the particular knowledge, skills, and abilities required to successfully perform the duties of a Secretary (Office Automation), and that is typically in or related to the position to be filled. Specialized experience includes receiving visitors and telephone calls to the office; scheduling appointments; coordinating meetings and conferences; preparing correspondence, reports, memoranda, and other forms of written communication; utilizing office automation software and maintaining files. NOTE: Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates, AND hours worked per week. You will be rated on the following Competencies as part of the assessment questionnaire for this position: ATTENTION TO DETAIL CUSTOMER SERVICE INTERPERSONAL SKILLS IMPORTANT: A full year of work is considered to be 35-40 hours of work per week.
