Job Description:
Washougal High School6 hours per day (7:30 am - 2:00 pm) Monday-FridayStart and end times are subject to variation based upon changing needs.Student attendance days only(60 work days probation for new employees)Rate of pay: $27.26 - $31.29Purpose Statement:The job of Secretary is done for the purpose/s of assisting the building administrator in ensuring the smooth running of the facility.This job reports to building administrator/principal.Essential Functions/Specified by Supervisor per position/building
  • Website management and contribution.
  • Reception area management.
  • Health Room (working under nurse license & direction for the purpose of administering medication and assessing immediate health needs).
  • Maintains immunization records/reports and notification of non-compliant students.
  • Collects funds from students and parents for the purpose of recording financial transactions in an accurate and timely manner.
  • Communicates with a variety of persons and agencies (e.g. other schools/districts, colleges, employers, students, staff, parents, military, etc.) for the purpose of providing information on transcripts and a variety of enrollment and graduation issues.
  • Maintains a variety of fiscal information, files and records for the purpose of providing an up-to-date reference and audit trail for compliance (e.g. purchase orders, ASB & General fund deposits and transmittals).
  • Compiles/maintains a variety of student records and files (manual and computer) (e.g. report cards, failure letters, correspondence, permanent cumulative records, scholarship, birth certificates, report card issuance, etc.) for the purpose of documenting and/or providing reliable information and meeting state, federal and district requirements.
  • Maintains inventory and orders office/building supplies for the purpose of ensuring the availability of items as needed.
  • Problem solves and assesses student needs as they occur.
  • Monitors assigned district activities and/or program components (e.g. attendance, BECCA bill, truancy, court, bus routes, class ranking, permanent record tracking and storage, etc.) for the purpose of ensuring compliance with financial, legal and administrative requirements.
  • Monitors staff absences using the automated substitute system for the purpose of ensuring building has appropriate staff daily for students (e.g. securing substitutes, managing time sheets).
  • Performs enrollment and withdrawal activities (e.g. sets up permanent cumulative records, requests transcripts from other schools, updating automated student information system, etc.) for the purpose of ensuring compliance with financial, legal, state or federal requirements (as assigned).
  • Prepares a variety of reports and written materials (e.g. state reports, class ranking, grade checks, memos, letters, etc.) for the purpose of conveying information and meeting state, federal and/or district requirements.
  • Processes a variety of documents, mail, and materials (e.g. inventory, driving records, transcripts and transcript requests, teacher record books, enrollment/withdrawals, student data, credits from other institutions, etc.) for the purpose of disseminating information to appropriate parties.
  • Works with spreadsheets, runs attendance for athletes, runs grade reports for athletes, works in outside websites to track athletes clearance lists. Tracks athletes with medical restrictions, works with coaches to clear athletes. Inventories uniforms.
Other Functions
  • Assists other personnel as needed for the purpose of ensuring an efficient and effective work environment.
  • Assists other personnel as may be required for the purpose of supporting them in the completion of their work activities.
  • General office/clerical duties as assigned.
Job Requirements: Minimum QualificationsSkills, Knowledge and AbilitiesSKILLS are required to perform multiple, non-technical tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skills required to satisfactorily perform the functions of the job include: applying pertinent codes, policies, regulations and/or laws; operating standard office equipment; performing standard clerical procedures; preparing and maintaining accurate records; keyboarding; and utilizing pertinent software applications.KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and understand complex, multi-step written and oral instructions. Specific knowledge required to satisfactorily perform the functions of the job includes: concepts of grammar and punctuation; office methods and equipment; legal procedures, policies, and regulations related to student enrollment and confidentiality of student records.ABILITY is required to schedule activities and/or meetings; routinely gather, collate, and/or classify data; and use basic, job-related equipment. Flexibility is required to work with others; analyze data utilizing defined but different processes; and operate equipment using standardized methods. Ability is also required to work with a diversity of individuals and/or groups; work with data of widely varied types and/or purposes; and utilize job-related equipment. In working with others, problem solving is required to analyze issues and create action plans. Problem solving with data requiring analysis based on organizational objectives; and problem solving with equipment is limited. Specific abilities required to satisfactorily perform the functions of the job include: being attentive to detail; communicating with diverse groups; meeting deadlines and schedules; working under time constraints; multi-tasking; maintaining confidentiality and working with frequent interruptions. Working EnvironmentThe usual and customary methods of performing the job's functions require the following physicaldemands: some lifting, carrying, pushing, and/or pulling; and significant fine finger dexterity. Generally the job requires 70% sitting, 20% walking, and 10% standing.
