Job Description:
To acquire the advantage, we seek a Security Administrative Assistant who will support a Consular Affairs software development contract. In this role, you will create and upkeep technical documentation, deployment and maintenance communication templates, Knowledge base articles, and internal SOPs.Translate development notes, end-user feedback, and hands-on demos into trouble ticket guidance, how-to guides, knowledgebase articles, and presentations. Communicate with software developers, managers, clients, and scrum masters. Drafting and editing internal correspondence and written materials to inform staff of information impacting operations. Acts as a liaison between ISSO and AMS team for SDLC security documentation and security compliance documentation requests. Acts as a liaison assistant between AMS and the Department of State Consular Affairs to ensure application POA&M's, security data calls, and software security findings are tracked and updated. Assists project manager by taking notes, tracking security-related projects, and maintaining existing security-related artifacts while managing reports and new requests. Generating meeting minutes, agendas, and other communication materials. Meeting scheduling and tracking. Managing files, including ensuring documents are up to date, consistent style is used across deliverables, and files are easily accessible to staff (e.g., folder architecture is logical).Required Experience:Bachelor's degree or five years of experience ideally in a field related to program management (e.g., business administration)Excellent written and communication skills are a must. Demonstrate ability to present complex concepts in a clear, concise manner.Demonstrates excellent verbal (both written and speaking) skills when speaking to security technical details to Government security officers.Familiarity with software development and software security concepts and terminologyAble to independently curate, edit, and write security-related documentation in a way that is easily understood by all parties.Must have excellent organization and attention to detail.Able to meet deadlines and work independently.Experience with Visio, Excel, advanced Microsoft Office skills, and basic graphic editing skills preferred. Candidate must show proficiency with Excel and the use of built-in functions, formulas, and tables.Explain your experience managing files and documents.Proficiency in tools including Microsoft Office Suite (Word, Excel, Outlook, and Teams), SharePoint, Zoom, and Webex. Ability to demonstrate written and verbal communication skills as part of the interview process. Experience Level: 2+ years of technical writing experience in the following areas:Proficiency in tools including Microsoft Office Suite (Word, Excel, Outlook, and Teams), SharePoint, Zoom, and Webex. Must be proficient with strong knowledge of Excel.Drafting and editing internal correspondence and written materials.Meeting facilitation and capturing meeting minutes.Meeting scheduling and tracking outcomes.Preparing correspondence with zero spelling and grammatical errors.Managing files, including ensuring documents are up to date, consistent style is used across deliverables, and files are easily accessible to staff (e.g., folder architecture is logical).General understanding of software development processes.
