Description
Position Summary
The individual in this position performs a variety of administrative functions to support the daily business activities of the Segment Teams. The coordinator follows Firm and Focus Area procedures to complete tasks in an organized and timely manner. A certain degree of creativity and latitude is required. This individual will work with the Healthcare and High Net Worth Focus Area teams.

Requirements
Major Duties and Responsibilities
* Assist focus area leader with organization of team tasks and responsibilities
* Creation & modify tasks and track projects using a task management software to ensure the team is meeting and exceeding expectations in a deadline driven atmosphere in a timely manner.
* Perform administrative tasks for team including scheduling meetings, preparation of meeting materials, and tracking action items, due dates, and assignments
* Assist with client onboarding process and project tracking with team members in a client service environment
* Prepare and proof various documents accurately, including business proposals, templates, and other forms
* Manage and maintain files, records, and documents, ensuring that everything is organized, accessible, and up-to-dated
* Coordinate and follow up with team members regarding tasks associated with business development efforts to ensure timely & positive interactions.
* Coordinate and collaborate with other Focus Area Administrative Coordinators firm-wide
* Coordinate events (Team, client, community) and trainings for the focus area, with assistance of Marketing & Training staff
* Coordinate various projects and special roles/responsibilities for segment
* Perform other duties as assigned

* Excellent organizational skills and attention to detail
* Must be highly proficient in Microsoft Office programs especially Excel
* Possess a results-oriented mindset, ensuring projects are brought to completion with professionalism
* Must have the ability to adapt to shifting priorities and pivot quickly in response to changes in team's workload by anticipating needs and proactively addressing challenges.
* Must have the ability to own and run a wide variety of projects
* Must be able to serve as a resource of information and point of contact both internal and external to the team as well as communicate administrative capacity to the team with ease and professionalism
* Must be team oriented, contribute positively to team culture, and work well with others
* Effectively communicate through verbal and written means; Strong phone communication skills prioritizing direct interaction over email reliance, when appropriate
* Client service oriented
* Must maintain confidentiality of firm and client information
* Ability to operate office equipment including video calls, multiple written communication tools as well as copier, printer, and scanner
Working Environment
