Job Description:

We are seeking an experienced and professional Senior Administrative Assistant for our Private Equity client. This individual will offer high-level administrative support to their team and serve as an essential liaison between management, clients, and staff. This contract to hire position ensures smooth office operations, including overseeing multiple administrative projects, managing schedules, and assisting with finance-related tasks.

Responsibilities:

  • Provide comprehensive administrative support to the Private Equity team including handling phone calls, maintaining files, scheduling appointments, arranging meetings, and coordinating travel logistics.
  • Manage multiple complex calendars and schedule necessary meetings in a timely manner.
  • Lead project management, track timelines, maintain databases, and ensure accurate and prompt reporting.
  • Coordinate with various departments effectively, ensuring clear and open channels of communication.
  • Assist with preparing financial reports, spreadsheets, and presentations.
  • Handle sensitive and confidential information with discretion.
  • Ensure the effective day-to-day operation of the office, including supplies, equipment, and facility management.

Qualifications:

  • A bachelor's degree preferred.
  • Minimum of three years' experience in an administrative role, preferably within the Finance/Private Equity industry.
  • Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Superior written and oral communication skills.
  • Ability to manage multiple projects, work under pressure, and meet deadlines.
  • Exceptional interpersonal skills, with a focus on rapport-building, listening, and questioning skills.
  • Strong problem-solving and decision-making capabilities.
  • High levels of discretion and confidentiality.
