Insight Investment is looking for a Senior Administrative Assistant to expertly support the COO, North America, and other senior leaders within our business. The Senior Administrative Assistant will assist with a variety of senior leaders and their teams to enable the smooth running of departments and objectives to be met.
The team you will be supporting provides dedicated subject matter expertise in business transformation, global regulatory reform and the implementation of strategic initiatives. The team serves as trusted advisors to the CSG, Financial Solutions Group (FSG), Fixed Income Group and Specialist Equity Team. The team collaborates with internal business and technology stakeholders as well as external suppliers, consultants, brokers, industry groups and clearing houses to ensure quality, cost-efficient and scalable solutions are delivered to the business.
Role Responsibilities
Extensive meeting scheduling for Senior Leaders and their teams
Dealing with meeting and call requests across global time zones, prioritizing and resolving conflicting appointments, often last minute and urgent with multiple stakeholders
Scheduling of recurring meetings (1:1s, Monthly and Quarterly Steering Committees, various team meetings)
Coordinating travel arrangements
Expenses and invoicing
Ad hoc administrative support for teams, such as printing, scanning, subscriptions etc
Providing assistance with ad hoc projects
Front desk reception/phone coverage for the office answering and directing phone calls, rotating with other admins
Experience Required
Extensive experience working as a Senior Administrative Assistant or related role, preferably in similar environment
Strong team player with excellent communication skills
Excellent organisational skills, strategic proactive planner, proven ability to multi-task and prioritize
Ability to work under pressure and with conflicting priorities
Proactive and flexible approach
Operates with professionalism, honesty and integrity at all times
Strong systems skills to include Outlook, Word, Excel and PowerPoint
Dependable, solid, and efficient
