Provides for professional, effective and efficient customer service assistance to the general public and City employees. Essential Job Functions Responsible for assisting with and completing a wide variety of advanced administrative and clerical duties. Ensures quality customer service to the general public and City employees by responding to inquiries and/or complaints in a timely and professional manner. Composes numerous forms of correspondence such as memos, letters, reports, public notices, and miscellaneous documents. Coordinates travel arrangements, monitors account expenditures, processes invoices, and oversees payroll. Acts as Records Retention Manager for department. Assists with Council Agenda items and Budget preparation as needed. Performs other duties as assigned.Responsible for planning, prioritizing, supervising and evaluating work of assigned staff. Provides direction and guidance regarding departmental programs, policies and procedures. Ensures daily operations are conducted in an efficient and effective manner. Completes annual performance evaluations.Completes special reports or projects as requested. This may include serving on committees, assisting Boards and Commissions for the City, and organizing special events.Depending on the assignment may review and analyze data from police reports and related police feeds. Provide officers and supervisors detailed analysis of crime and call for service data including predicting crime trends, patterns and tracking known offenders. Education and Experience Work requires knowledge of a specific vocational, administrative, or technical nature that may be obtained with six-months/one year of advanced study or training past the high school equivalency.Over three years up to and including five years of experience is required.Employment is conditional upon successful completion of a criminal background check, drug and alcohol test, and a motor vehicle review. Knowledge, Skills and Abilities Work requires functioning as a lead worker performing essentially the same work as those directed, and includes overseeing work quality, training, instructing, and scheduling work.Work may require providing advice to others outside direct reporting relationships on specific problems or general policies. Contacts may require the consideration of different points of view to reach agreement. Elements of persuasion may be necessary to gain cooperation and acceptance of ideas.This position normally performs the job by following established standard operating procedures and/or policies. There is a choice of the appropriate procedure or policy to apply to duties. Performance reviewed periodically.Skilled work requires a comprehensive, practical knowledge of a technical field with use of analytical judgment and decision-making abilities appropriate to the work environment of the organization.Intermediate ability to read papers, periodicals, journals, manuals, dictionaries, thesauruses, and encyclopedias. Intermediate ability to write reports, prepare business letters, expositions, and summaries with proper format, punctuation, spelling, and grammar, using all parts of speech.Depending on the assignment may be required to have knowledge of various data mining software (Crystal Reports etc) as well as crime analysis software. May be required to have a working knowledge of all police department information systems and technologyLicenses and Certificates:Depending on the assignment a valid driver's license with good driving record and ability to maintain while employed may be required. Depending on the assignment a Notary Public certification may be required or preferred.Work Environment:Works primarily in climate controlled office environment. Position requires some lifting up to 35 pounds. Physical demands are sedentary in nature but include walking, standing, reaching, and bending.
