Description This position is responsible for providing routine assistance and administrative support to the department chair, department, faculty, and staff. Additional responsibilities include acting as a receptionist and liaison to visitors and potential program participants. Essential Job Duties
  • Responsible for all office correspondence including answering/responding to phone calls, voicemails, emails, faxes, memos, letters, and greeting guests/students that come into the office;
  • Build, maintain, and update schedule of classes each term, including working with the chair(s) to schedule classes considering faculty loads, classroom availability, course sequence and coordination with the catalog;
  • Generate multiple forms, in both electronic and paper formats for:
    • Faculty course load sheets, as well as workload sheets such as overload, release time, and independent study;
    • Employment forms for adjuncts, including EPAFs;
    • Forms related to budgets, book orders, budget transfers, budget requests, requests to hire, and travel reimbursements;
    • Financial forms such as work orders, requisitions, purchase orders, etc.;
  • Assist with hiring, training, and supervision of work-study students;
  • Receive, sort, and disperse office mail;
  • Maintain calendars of appointments and important dates;
  • Maintain inventory of office supplies and places orders as needed;
  • Process catalog and curriculum changes;
  • Verify faculty grade submissions;
  • Assign students to departmental advisors, maintain student files, release advisor holds, enter registration permits, as needed and, provide PIN numbers;
  • Assist with accreditation documentation;
  • Work with the bookstore each semester regarding student book lists;
  • Assist with procuring textbooks/desk copies for faculty;
  • Assist new faculty and staff with office setup - coordinate with ITS, order supplies, etc.;
  • Provide clinical badges for all online students;
  • Provide administrative support for summer SOAR sessions;
  • Assist with enrollment management efforts;
  • Perform all other duties as assigned.

    • High school diploma/equivalent is required;
    • Some college education is preferred;
    • Three years of related experience is required.

    • Ability to effectively operate a PC and currently-utilized software solutions (Office 365), as well as to quickly learn new software programs;
    • Knowledge of Banner;
    • Organizational and interpersonal skills;
    • Ability to multi-task and work in a fast-paced environment, with little supervision;
    • Ability to interact comfortably with a diverse array of students, faculty, staff, administrators, parents, visitors, and the community;
    • Ability to understand the formal/informal department and university goals, standards, policies, and procedures which may include some familiarity of other departments within the school/division;
    • Ability to make decisions and establish work priorities on essential, procedure-oriented operations;
    • Ability to establish and maintain effective working relationships with all levels of constituents;
    • Ability to be sensitive to the needs of economically- and educationally-disadvantaged participants;
    • Ability to communicate effectively, both verbally and in writing;
    • Ability to type at an efficient rate of speed using modern technology;
    • Ability to utilize computerized databases and tracking systems;
    • Ability to maintain accurate budget records.

    UNA provides remission of tuition to eligible employees and to their spouses and qualified dependent children. Paid Time Off - Annual leave is accrued for each hour worked.
