Job Description:
This position supports the work of the Office of International Programs and Partnerships, including the work of the Associate Provost and IPP Directors (Study Abroad, ONIF, Global Learning, and Operations). The position directly reports to the Director of Operations for IPP. Position Specific Responsibilities/Accountabilities Provide administrative, logistical and clerical support to the IPP team, and especially the Associate Provost, to help advance IPP's mission and vision. Provide logistical support to ensure efficient operation of IPP, including overall organization, such as organizing meetings, maintaining calendars, and organizing delegation visits. Provide administrative support, including handling correspondence, processing reports, securing documents including sensitive information through paper and electronic filing systems, maintaining adequate supplies and office equipment. Support event planning logistics for events for IPP, including space reservations, catering, setup, and attendance management. Assist with marketing and promotion including printing, design, and social media posts, and support website content management as needed. Support financial-related tasks in Workday and with Student Financial Services. Process invoices, faculty awards, expense reports, and prepare memos and other forms. Monitor, review and reconcile appropriate expenses, purchases, and reimbursements per budget, and process account transfers and changes as appropriate. Support HR related matters including support for onboarding new team members. Maintain a checklist of onboarding tasks and update resource list to share with new and current team members. Assist team with technology needs as appropriate. Liaise with faculty/staff/university offices, departments, schools, and colleges to support the work of IPP, and attend related campus events as needed. Perform other duties as assigned or requested. Requisite Qualifications Typically, a Bachelor's degree or equivalent in related administrative experience. Incumbent will be expected to continue upgrading knowledge, skills and abilities, and stay informed of global education training, trends, and best practices. Experience performing a variety of administrative duties to support an office, department, school/college, academic program, or unit, ideally related to international education. Experience with presentations and marketing is a plus. Excellent verbal, written, and interpersonal communication skills to communicate effectively and professionally with different constituencies including institutional partners, faculty, staff, senior administrators, students and their parents/families. Advanced proficiency in Microsoft Office suite including Word, Excel, PowerPoint. Familiarity with campus software platforms and data management systems and practices, including relational databases, preferred. Ability to use initiative, independent judgment, tact, and diplomacy. Ability to organize and prioritize multiple complex tasks and projects both independently and collaboratively in a fast-paced environment, including excellent follow-up and attention to detail.
